As a Senior Executive Administrative Assistant in Commercial & Investment Banking, you will act as an extension of one or more senior executives. You will protect executive time, manage highly complex calendars and travel, prepare leaders for key engagements, and maintain alignment across a dynamic organization. Success in this role requires exceptional judgment, discretion, executive presence, technology fluency, and the ability to anticipate needs and influence outcomes with limited direction.

Job responsibilities

- Act as a trusted partner to supported executives by anticipating needs, understanding business priorities, and recommending sequencing/trade-offs to protect executive time.

- Manage and screen incoming interactions on behalf of executives, serving as a professional liaison with employees, clients, senior leaders, and external stakeholders.

- Own highly complex calendars and domestic/international travel, proactively resolving conflicts, adjusting plans, and ensuring leaders are prepared for each engagement.

- Lead end-to-end planning and execution for market visits, leadership meetings, Town Halls, client engagements, and other high-visibility events.

- Serve as a central coordination point across the executive organization, partnering with business management, communications, finance, and other stakeholders to maintain alignment and follow-through.

- Draft, edit, and coordinate internal/external communications, presentations, briefing materials, reports, and executive-ready documents.

- Manage meeting preparation and follow-up, including agendas, materials, stakeholder input, action items, and deliverables.

- Provide hands-on onsite support (especially in smaller offices), including visitor/phone coverage, new-hire integration, facilities coordination, mail/package handling, and conference-room/pantry support.

- Support local office logistics and events, including ordering/stocking supplies, food orders, room setup/takedown, and greeting/escorting clients and guests.

- Prepare and process expense reports, interpret requirements, resolve complex exceptions, and promote adherence to firm policies and controls.

- Leverage Microsoft 365 and other approved firm tools to organize information, improve workflows, prepare reporting, and increase executive/team efficiency while handling sensitive matters with discretion and strict compliance with data-handling and internal controls.

Required qualifications, capabilities, and skills

- At least five years of experience providing executive-level administrative support in a fast-paced professional environment.

- Demonstrated success managing highly complex calendars, international travel, senior-level engagements, and competing priorities with limited direction.

- Exceptional judgment and discretion, with the ability to navigate ambiguity, recognize risk, and make timely decisions in sensitive situations.

- Excellent written and verbal communication skills, executive presence, and the ability to build trusted relationships across all levels of an organization.

- Strong organizational, project coordination, and problem-solving skills, with consistent attention to detail and follow-through.

- Advanced proficiency with Microsoft 365 and the ability to learn and apply new technologies and approved firm tools.

- Demonstrated proficiency using approved artificial intelligence and large language model tools to synthesize information, draft and refine communications, prepare meeting materials, organize priorities, and streamline recurring work, while verifying outputs and complying with confidentiality, data privacy, and firm policies.

- Ability to provide informal leadership, mentor administrative colleagues, and promote effective collaboration and continuity of support.

Preferred qualifications, capabilities and skills

- Experience supporting senior leaders in financial services, a client-facing environment, or another highly regulated industry.

- Extensive experience coordinating international travel across multiple countries and cultures.

- Experience coordinating large-scale events, market visits, Town Halls, or complex client engagements.

- Experience preparing executive communications, presentations, reporting, scorecards, or briefing materials.

- Experience partnering with business management, communications, finance, or other senior stakeholder groups.

- Experience working with artificial intelligence (AI) tools and large language models to synthesize information and streamline output.

*This role requires working in the office five days per week, Monday through Friday, and is not eligible for a hybrid schedule.
