Your Role
The AP Specialist – Carrier Operations is responsible for managing day-to-day payment and billing communications with transportation carriers. This role serves as the primary point of contact for carrier payment inquiries, processes carrier payments, reviews carrier accounts for accuracy, and oversees the review and processing of Bills of Lading (BOLs). The individual will also handle escalated carrier issues that require additional research or resolution.

Day-to-Day Responsibilities

- Answer and resolve inbound carrier calls regarding payment status, invoice discrepancies, and account inquiries
- Process carrier payments accurately and in accordance with payment terms and schedules
- Review carrier accounts regularly to identify discrepancies, outstanding balances, or billing errors
- Review, verify, and process Bills of Lading (BOLs) to ensure accuracy and match against invoices/freight bills
- Investigate and resolve escalated carrier issues, coordinating with internal departments ( operations, dispatch) as needed
- Reconcile carrier statements against internal records
- Maintain organized documentation of carrier communications, payment records, and BOLs
- Identify and flag recurring issues or discrepancies for process improvement
- Ensure compliance with company AP policies and carrier payment agreements
- Communicate professionally with carriers to maintain positive working relationships

Preferred Qualifications

- 1-3 years of experience in Accounts Payable, transportation accounting, logistics operations, or a related field.
- Experience working with transportation carriers, freight invoices, Bills of Lading (BOLs), or freight auditing processes.
- Strong attention to detail with the ability to identify, investigate, and resolve payment or billing discrepancies.
- Proficiency with Microsoft Excel, including basic formulas, sorting/filtering, and reconciliation activities.
- Experience working within a Transportation Management System (TMS), ERP system, or accounting software.
- Excellent verbal and written communication skills with the ability to professionally manage carrier relationships.
- Ability to prioritize multiple tasks and meet deadlines in a fast-paced logistics environment.
- Strong problem-solving and analytical skills with a focus on process improvement.
- Understanding of transportation terminology, carrier payment processes, and freight documentation.
- Associate's or Bachelor's degree in Accounting, Finance, Supply Chain, Business Administration, or a related field preferred.
- High school diploma or equivalent required
- Office Hours: Monday - Friday: 8am-5pm
