About Duke Life Flight

Pursue your passion for caring with Duke Life Flight, which is Duke Health's critical care and emergency air and ground transport team, accredited by the Commission on Accreditation of Medical Transport Systems. The team includes paramedics, nurses, respiratory therapists, emergency medical technicians, and communications specialists who work quickly to provide compassionate care and transport services to critically ill patients of all ages. Duke Life Flight also maintains a Code Blue Response Team and helps support event medicine needs.

The Fleet Coordinator role will provide dedicated operational coordination and administrative oversight to support the readiness, compliance, and efficiency for the Duke Life Flight air and ground transport assets.

Position Overview:

Duke Health Acute Care is comprised of 4 hospitals: Duke Raleigh Hospital, Duke Regional Hospital, Duke Health Lake Norman, and Duke University Hospital. Life Flight manages patient movement across all 4 acute sites by means of ambulance and air medical transport. The Life Flight team provides transportation to provide access for all patients in need of Duke acute care.  This position will provide administrative support over the fleet that ensures the Duke Life Flight team can transport patients safely and efficiently.

Duties and Responsibilities of this Level

- Fleet operations and regulatory readiness : Coordinate preventive maintenance, repairs, inspections, vehicle downtime, acquisition, commissioning, remounts, and disposal activities; monitor safety equipment and overall vehicle readiness; support regulatory inspections, driver-performance follow-up, oxygen inventory, Environment of Care requirements, and backup coverage for helipad fuel and Underground Storage Tank operations.
- Logistics, supplies, and uniform management : Coordinate procurement, distribution, inventory control, and accountability for operational and office supplies across all bases; partner with Materials Management on disposable medical supply needs; and manage uniform ordering, issuance, replacement, and tracking.
- Medical equipment and pharmacy logistics : Coordinate medical device procurement, deployment, preventive maintenance, inspection, replacement, decommissioning, and disposal in collaboration with Clinical Engineering; support pharmacy logistics, controlled-substance documentation, inventory accountability, distribution, and disposal processes in accordance with DEA, state, federal, and organizational requirements.
- Operational systems, communications, and technology : Serve as departmental super user and administrator for Operative IQ and 9th Brain, providing training, troubleshooting, reporting, data-integrity monitoring, and process-improvement support; coordinate mobile and portable radio programming, inventory, maintenance, and readiness; and partner with Information Technology teams and vendors to resolve operational technology issues.
- Safety, quality, and administrative support : Support safety and quality improvement initiatives, implementation planning, data collection, performance monitoring, regulatory readiness, and accreditation preparation; maintain key control, access management, inventories, reports, and compliance documentation; provide operational coverage during Fleet Manager absences and complete special projects as assigned.

Education:

- High School Diploma is required.
- North Carolina EMT certification is strongly preferred.

Experience:

- Work requires five years experience in emergency medical services (EMS), hospital-based emergency operations or related setting including supervisory experience.
