Job Summary/Overview

We are seeking a detail-oriented and enthusiastic Banquet Coordinator to join our team. This role is responsible for the hands-on execution of events in accordance with plans established by the Catering Manager. The ideal candidate will ensure seamless execution and exceptional guest experiences by adhering to event specifications and overseeing on-site operations.

Essential Duties and Responsibilities

- Review event orders and details provided by the Catering Manager to understand all event specifications

- Execute room configurations, audio-visual setups, catering arrangements, and décor specifications according to established plans

- Set up or oversee the setup of event spaces, ensuring all elements are in place and meet quality standards

- Follow detailed event timelines and checklists to ensure all tasks are completed on schedule

- Provide on-site supervision during events to manage staff and monitor service quality

- Troubleshoot operational issues that arise during event execution and implement solutions quickly

- Keep events running on schedule and ensure smooth transitions between event segments

- Monitor inventory levels and ensure adequate supplies are available for events

- Maintain accurate event files and documentation throughout the execution process

- Document event execution details and provide feedback to the Catering Manager

- Assist with post-event wrap-up, including breakdown

- Assist with training banquet service staff as needed

- Organize and store equipment properly after events to maintain readiness for future use

- Pursues personal development of skills and knowledge necessary for the effective performance of the role

- Performs all duties in adherence to Colen Built Development standards

- Strives to maintain a safe working environment through the prevention of accidents, the preservation of equipment, and the achievement of safe working practices

- Maintains a positive and professional demeanor toward all residents, visitors, and co-workers

- Performs other duties as assigned

Qualifications (Education, Experience, Technical Skills)

Education and Experience:

- High School Diploma or equivalent required; Associate's Degree preferred.

- Previous event planning experience

- 3+ years of customer service experience.

- Experience complying with food and beverage safety and sanitation regulations

- Excellent communication skills are necessary for managing staff and taking direction from the Catering Manager, along with the ability to follow specifications accurately.

- Obtain/hold any local, state, and/or county-required food handling/sanitation licenses and/or certificates

Skills and Knowledge:

- Proven experience in event planning and coordination.

- Strong organizational and time management skills.

- Excellent communication and interpersonal skills.

- Ability to work under pressure and meet deadlines.

- Proficiency in Microsoft Office Suite or similar software.

- Food service industry experience preferred.

- Ability to work flexible shifts, including days, evenings, nights, weekends, and holidays, as required.

- Experience and proficiency with Microsoft Office Suite and other relevant software
