About this role

General Summary of Duties:

The part-time seasonal coordinator, Early Recognition Programs will assist with administrative and programmatic tasks on the Early Recognition team at YoungArts. This position will handle day-to-day administrative responsibilities, track program expenses and receipts, administer inbound communications from competition applicants, reviewers, and educators working in tandem with team members.

Direct Reporting:

The part-time seasonal coordinator, Early Recognition Programs reports to the Associate Director, Programs Administration.

Qualifications

Essential and Other Responsibilities (perform other duties as assigned):

- Collaborate with teams across the organization to develop new planning processes for mapping out and achieving production, technical, and event needs for each season.

- Maintain daily administrative tasks for Early Recognition team as requested.

- Assist with expense receipt submissions, expenditure tracking, and monthly credit card reporting for Artistic Programs initiatives.

- Respond to daily phone and email inquiries from applicants, winners, educators, and presenters for YoungArts National Competition.

- Collaborate with People Operations and Finance teams to coordinate and track all contract initiation, payment and invoice processes for Artistic Programs.

- This role will serve as a secondary point of contact for the teams independent contractors, artists, and vendors to ensure timely completion of contracts, required documentation, and processing of payments.

- Maintain positive working relationships and present a positive image of the organization to the public, patrons, clients, and artists.

Safety Responsibilities:

Adhere to all safety and security policies of the organization including those pertaining to physical safety and practices. Report any potential or actual violations to security and HR as appropriate. Applicant must successfully pass background check and complete Participant Care Training for working with minors.

Qualifications and Experience Requirements:

- Prior experience managing schedules and contracts is preferred.

- Outstanding oral and written communication skills.

- Experience working in Airtable and Microsoft Excel preferred.

Education and/or Credentialing Requirements:

- Bachelors degree or the equivalent in education and experience

- 2 + years of administrative support experience with data management. Prior experience in the arts, philanthropic, non-profit, or higher-education industries are a bonus.

- Experience beyond requirement will be considered in lieu of education requirement

Working conditions, typical physical/mental demands:

YoungArts physical campus and headquarters are in Miami, FL. This work can be performed remote or in a hybrid (virtual and in-office) setting.

Compensation

$20 per hour, 20 hours per week (max.)

General working hours are 9:00 am–5:00 pm, Monday through Friday. The nature of our work will sometimes require an adjustment to this schedule, including evenings and weekends. Team member will normally be advised in advance should the work schedule be adjusted. This role will not exceed more than 20 hours/week.

Travel will not be required.
