Commercial Coordinator

Administrative, Sales, Marketing & Revenue Support

Position Overview

Pacific Hospitality Group is seeking an experienced and highly organized Commercial Coordinator to provide administrative, marketing, sales, and revenue support across the organization.

This role is responsible for managing executive and team calendars, coordinating meetings and follow-up, supporting invoicing and billing processes, maintaining commercial systems and records, and assisting with marketing campaigns, sales reporting, revenue initiatives, and special projects.

The ideal candidate will be a proactive, detail-oriented professional with strong communication skills, sound judgment, and the ability to manage multiple priorities in a fast-paced hospitality environment. The successful candidate will have  more than five years of relevant experience , including meaningful administrative responsibilities.

Key Responsibilities

Administrative and Executive Support

- Manage the SVP of Commercialization’s calendar, including appointments, meetings, conference calls, reminders, and schedule changes.
- Coordinate meetings with internal and external stakeholders while resolving scheduling conflicts.
- Prepare and distribute meeting invitations, agendas, materials, and follow-up communications.
- Attend sales, marketing, revenue, and commercial meetings as needed.
- Take clear meeting notes and distribute summaries, decisions, action items, owners, and deadlines.
- Provide administrative support for the Commercial, Sales, Marketing, and Revenue teams.
- Assist with preparing presentations, reports, correspondence, and other business documents.
- Coordinate travel arrangements, accommodations, itineraries, and expense reports as needed.
- Maintain organized digital files, records, calendars, and team resources.

Invoicing, Billing, and Vendor Administration

- Receive, review, organize, and route vendor and customer invoices for processing.
- Track invoice status, payments, and outstanding items.
- Assist with billing-related follow-up and reconciliation of marketing and commercial expenses.
- Maintain organized records of invoices, contracts, receipts, and supporting documentation.
- Coordinate with Finance and vendors to resolve discrepancies or missing information.

Marketing Coordination

- Support organic marketing activity on Nextdoor, LinkedIn, Google Business Profile, and Wikipedia, as appropriate.
- Coordinate marketing pop-ups and related promotional activities.
- Assist with preparing, editing, and distributing marketing content, presentations, newsletters, and reports.
- Create and distribute the quarterly Corporate Marketing Newsletter.
- Coordinate with property and corporate teams to collect updates, achievements, announcements, and upcoming initiatives.
- Support marketing campaigns by organizing timelines, assets, approvals, communications, and deliverables.
- Maintain marketing calendars and project trackers.

Salesforce Marketing Cloud Project Support

- Support the integration and ongoing use of Salesforce Marketing Cloud.
- Serve as a liaison between Sales and Marketing to coordinate campaign needs, content, timing, and approvals.
- Assist with building audience segments and campaign lists.
- Support the creation, testing, scheduling, and deployment of email campaigns.
- Coordinate campaign content, data requirements, approvals, and reporting.
- Maintain organized records of campaigns, segments, templates, and deployment schedules.
- Help document processes and identify opportunities to improve campaign efficiency and communication.

Sales and Revenue Support

- Provide Delphi and Top Line reporting as needed for the Regional Director of Sales.
- Prepare and organize reports related to room bookings, revenue, leads, sales activity, and performance.
- Maintain accurate sales and commercial information for all properties.
- Manage Cvent user access for property and above-property users, including permissions, updates, training, and support.
- Manage Unifocus Meeting Planner Surveys for all properties and ensure timely distribution and tracking.
- Organize monthly property presentations and upload them to PHG Connect for easy access.
- Maintain updated Sales Deployment information for all properties in PHG Connect, including sales teams, territories, and key contacts.
- Coordinate with property representatives to collect and validate updates.
- Support sales, marketing, and revenue teams with research, reporting, data organization, and special projects.

Contracts, SOPs, and Commercial Resources

- Organize and maintain Meritage Collection contracts in ContractWorks.
- Track contract execution, filing, renewal dates, and required follow-up.
- Coordinate with stakeholders to ensure contract records remain accurate and current.
- Maintain and update Sales, Marketing, and Revenue Standard Operating Procedures.
- Ensure SOPs are organized, accessible, and current within PHG Connect.
- Coordinate with department leaders to incorporate process updates and operational changes.

Projects, Events, and Recognition Programs

- Project manage the Annual Sales, Marketing, and Revenue Conference, including: Venue and vendor coordination
- Agenda and speaker coordination
- Logistics and timelines
- Budget tracking
- Internal communications
- On-site execution support

- Coordinate quarterly Pinnacle Award submissions.
- Compile submissions from properties and departments.
- Maintain records of Pinnacle Award winners.
- Assist with documentation for the Chairman’s Awards.
- Support additional commercial, marketing, sales, revenue, and administrative projects as assigned.

Required Qualifications

- More than five years of relevant professional experience , with demonstrated administrative responsibilities.
- Experience supporting executives, departments, or cross-functional teams.
- Experience in hospitality, sales, marketing, revenue management, or a related industry preferred.
- Bachelor’s degree in Business Administration, Marketing, Hospitality Management, or a related field preferred; equivalent professional experience will be considered.
- Strong proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
- Experience with calendars, meeting coordination, document management, invoicing, billing, and project tracking.
- Familiarity with Salesforce Marketing Cloud or similar email marketing and CRM platforms preferred.
- Familiarity with Cvent, Delphi, Top Line, Unifocus, ContractWorks, PHG Connect, Monday.com, Smartsheet, or similar platforms is advantageous.
- Experience supporting marketing campaigns, email deployment, audience segmentation, or CRM initiatives is a plus.
