Expected Hiring Range: $31.35-$39.19 depending on experience and qualifications
The Town of Vail is seeking a highly organized, detail-oriented, and resourceful Deputy Clerk to join our team! This position plays an important role in supporting the Town Clerk's Office, providing executive-level administrative support to the Town Manager's Office, and assisting with Municipal Court operations.
As Deputy Clerk, you'll work closely with Town leadership, elected officials, department directors, and community members to help keep essential municipal operations running smoothly. From coordinating Town Council agendas and managing official records to overseeing contract processes and supporting special projects, this position offers a unique opportunity to contribute to local government and the Vail community.
Key responsibilities include:
- Coordinating Town Council agendas, meeting packets, public notices, and official meeting materials.
- Managing the routing, execution, tracking, and retention of Town contracts and agreements.
- Supporting public records requests and ensuring compliance with municipal records retention requirements.
- Providing executive-level administrative assistance to the Town Manager, Deputy Town Manager, and Town Council.
- Coordinating meetings, travel arrangements, community events, and special projects.
- Assisting with Municipal Court administrative functions and serving as backup to the Court Clerk.
- Maintaining confidential records and ensuring accuracy, professionalism, and timely follow-through.

Skills / Requirements
We're looking for a dependable, adaptable professional who brings sound judgment, strong communication skills, and exceptional attention to detail.
- High school diploma or equivalent required. Additional education in business administration, public administration, records management, legal administration, or a related field preferred.
- Minimum of three years of relevant experience in municipal government, public administration, executive administrative support, records management, legal support, or a related field.
- Strong organizational and time-management skills, with the ability to prioritize competing deadlines and manage multiple projects independently.
- Excellent written and verbal communication skills, including the ability to prepare, review, and edit professional correspondence and official documents.
- Proficiency in Microsoft Office and other software used for scheduling, document management, spreadsheets, and presentations.
- Ability to handle confidential and sensitive information with discretion and professionalism.
- Strong interpersonal skills and the ability to build effective working relationships with elected officials, Town leadership, coworkers, and the public.
- Sound judgment, problem-solving skills, and the ability to make decisions with limited supervision.
- Willingness to learn municipal procedures, regulations, records management requirements, and government operations.
- Ability to obtain and maintain a Notary Public certification.
The ideal candidate is proactive, approachable, curious, and comfortable balancing independent work with collaboration. Occasional attendance at meetings or Town events outside regular business hours may be required.
