Wage Range: $23.14 - $28.92 per hour (start rate in accordance with collective agreement)
Hours: 37.5 hours per week
Status: Temporary Full-Time

Position Summary
The Medical Administrative Assistant I provides a broad range of administrative and clerical support to physicians and other healthcare professionals in a fast-paced healthcare environment. The role utilizes knowledge of medical terminology to support the preparation and management of medical documentation, patient scheduling, reception activities, confidential health records, OHIP billing and general office administration. The Medical Administrative Assistant I works closely with patients, physicians, clinical teams and other hospital departments to support effective communication, coordination and the efficient day-to-day operation of the office.
Duties
- Provide administrative and clerical support to physicians and other healthcare professionals, utilizing medical terminology and maintaining a high degree of accuracy and confidentiality.
- Prepare, transcribe, format and proofread medical records, reports, correspondence, presentations, meeting minutes and other documentation.
- Perform reception duties, including greeting patients and visitors, answering and screening calls and emails, responding to inquiries and directing individuals to the appropriate personnel or area.
- Coordinate and maintain physician and patient schedules, including booking and confirming appointments, arranging patient admissions and testing, managing changing priorities, and preparing rounds and on-call schedules.
- Maintain accurate and confidential electronic and paper patient records, including organizing, updating, retrieving, archiving and tracking medical charts, reports and related documentation.
- Prepare, submit and reconcile OHIP billings, process financial transactions, investigate discrepancies, and maintain supporting financial, grant and budget documentation.
- Coordinate administrative requirements for meetings and events, including preparing agendas, arranging rooms and equipment, distributing materials, recording minutes and completing follow-up activities.
- Support the efficient day-to-day operation of the office through general administrative activities, while liaising with patients, physicians, hospital departments and external stakeholders and adhering to hospital policies, quality standards and health and safety requirements.
Qualifications
- Completion of Grade XII or recognized equivalent required
- Completion of a recognized medical secretarial arts program at the diploma level or equivalent required.
- Completion of a medical terminology course required.
- At least one year related medical secretarial experience required
- Previous on-the-job computer/word-processing, database and spreadsheet software experience required; experience in a Microsoft Office environment preferred.
- OHIP billing experience required.
- Experience working in a health care environment an asset.
- Experience working in a teaching hospital environment an asset.
- Good stenographic skills required.
