At IPC, the Advisor Support Associate role is designed to support both Advisors and clients effectively. In this position, you will provide administrative, operational, and client service support to a pooled team of Advisors and Client Experience Specialists (CES) within the National Accounts Desk.
This role is essential to maintaining efficient daily operations, delivering a high-quality client experience, and supporting Advisor productivity. The ideal candidate is detail-oriented, client-focused, and comfortable in a fast-paced professional environment. The Advisor Support Associate partners closely with Client Experience Specialists to coordinate client service activities, manage administrative workflows, and support operational processes that contribute to a seamless client experience.
What You Will Do
You will partner with Client Experience Specialists (CES) to support Advisors and clients through a variety of administrative, operational, and client service responsibilities, including:
- Provide outstanding customer service and support by putting the client first.
- Serve as a first point of contact for administrative client inquiries by phone and email.
- Coordinate Advisor calendars and client service activities, including scheduling, confirming, and rescheduling client appointments.
- Monitor and manage shared team mailboxes and route requests to the appropriate team members.
- Assist with client onboarding, account maintenance, and administrative service requests.
- Coordinate, track, and follow up on client documentation requirements, including outstanding DocuSign requests.
- Maintain accurate client records within UVC and internal systems.
- Generate reports and support workflow tracking and service activities.
- Contribute to team efficiency and continuous process improvement initiatives.
- Escalate licensed, investment-related, trading, and advice-related inquiries to the appropriate Client Experience Specialist or Advisor.
What You Will Bring
- Post-secondary education in Business, Administration, Finance, or a related field preferred.
- Experience in an advisor support, client service, administrative, banking, wealth management, or financial services environment.
- Bilingualism (fluent in French and English) required, as the position will regularly serve our clients with English and French-speaking needs.
- Strong organizational skills, with the ability to manage multiple priorities and meet deadlines.
- Strong written, verbal, and virtual communication skills.
- Exceptional attention to detail and accuracy.
- Demonstrated ability to take initiative and work effectively both independently and as part of a team.
- Strong client service orientation with a commitment to delivering an exceptional client experience.
- Proficiency with Microsoft Office applications and business systems.
- Experience with CRM platforms and client management systems is considered an asset.
- Knowledge of wealth management or financial services operations is considered an asset.
- IFIC Mutual Fund, CSC, or other industry coursework is considered an asset but is not required.

The base salary for this position is between $43,400 - $68,400 annually. This represents base salary only and does not represent other variable compensation components of our total compensation ( i.e. annual bonus, commission etc).
