About Menlo Business Brokers

Menlo Business Brokers (MBB) is the general business brokerage division of Menlo Group, a full-service brokerage firm serving the Phoenix Metro area. We work with business owners across a range of industries to facilitate the sale of their businesses, and we are actively building out this side of our operation. We are looking for a Transaction Coordinator who is ready to come in, contribute immediately, and help us grow.

The Role

This is a Transaction Coordinator position dedicated to our business brokerage division. We are specifically seeking someone with experience in M&A, business brokerage, or a closely adjacent deal coordination role. Someone who understands what it means to move a business transaction from engagement through close. You will work directly alongside our advisors and transaction leadership, owning the operational and administrative flow that keeps deals on track.

MBB is a growing division, and that is intentional. We are not looking for someone to fill a seat in an established system. Key Responsibilities

- Work directly with our business advisors and transaction leadership to support active deals

- Manage day-to-day operational flow including client communication, scheduling, and CRM tracking

- Oversee active listings and transactions from prospecting and onboarding through buyer engagement and close

- Prepare, revise, and send documents such as listing agreements, prospectuses, NDAs, and disclosures for approval and signature

- Track all key deadlines, follow-ups, and deliverables so deals continue moving forward

- Communicate directly with clients and handle tasks independently whenever possible

- Coordinate listing packages, prospectus preparation, and marketing materials

- Maintain up-to-date listing information across marketing and brokerage platforms

- Perform buyer and seller research and support advisors with deal-related information gathering

Experience

We are looking for candidates with direct or adjacent experience in business transactions. Strongly preferred backgrounds include:

- Transaction Coordinator or Deal Coordinator in business brokerage or M&A

- Closing coordinator or deal administrator in a business acquisition or advisory context

- Operations or administrative professional in a business brokerage, investment banking, or M&A firm

- Paralegal or contract specialist with experience managing business sale or acquisition transactions

- Transaction Coordinator in a real estate brokerage, especially commercial real estate

Requirements

- Demonstrated experience managing transactions, contracts, or deal timelines from open to close

- Proven ability to work at speed and maintain accuracy across a high volume of moving parts

- Strong organization, task-tracking, and follow-through without needing to be managed closely

- Professional presence and clear communication with business owners, advisors, legal counsel, and third parties

- Proactive problem-solving mindset; you identify what needs to happen next and you handle it

- Genuine interest in growing within the role and contributing to how the team operates and expands

- Microsoft Office proficiency required

- CRM experience required; Canva experience a plus

- Arizona real estate license experience a plus

Associate's degree or equivalent professional experience required. Bachelor's degree preferred.
