Wachter is currently accepting applications for an Administrative Assistant focusing on fleet and tool management in our Lowell, AR office. Ideal candidates should be willing to learn new skills or possess experience in administrative tasks related to fleet care and monitoring. This position is Monday-Friday, 8 am - 5 pm.

Essential Duties and Responsibilities
- Assist the Fleet Manager with daily administrative and operational fleet functions.
- Manage vehicle registrations, renewals, state licensing requirements, and related documentation.
- Track required vehicle maintenance and communicate with maintenance and body shops as needed.
- Coordinate, review, and reconcile purchase orders, invoices, maintenance expenses, and field employee expenses.
- Monitor fleet-related charges, identify potential fraudulent activity, and assist with resolving discrepancies.
- Activate, maintain, assign, and deactivate nationwide toll transponders and manage associated toll costs.
- Assist with GPS assignments, migrations, utilization, and reporting discrepancies.
- Assign, track, and maintain company tools, equipment, and other assets issued to field employees.
- Order tools, materials, uniforms, PPE, and other supplies as requested.
- Record and maintain fleet, tool, material, and asset information within company systems and shared platforms.
- Prepare and distribute monthly reports related to fleet expenses, allocations, inventory, truck stock, tools, and company assets.
- Research and resolve reporting or allocation inaccuracies in a timely manner.
- Assist with fleet and tool inventory audits and ensure records remain accurate and up to date.
- Support the Fleet Manager with training and documentation of standard operating procedures.
- Perform miscellaneous administrative and fleet-related duties as assigned.
Qualifications
- Self-motivated with the ability to work independently and as part of a team.
- Ability to manage multiple projects, priorities, and deadlines simultaneously.
- Strong attention to detail and organizational skills.
- Ability to quickly task-switch and prioritize in a fast-paced environment.
- Intermediate to advanced data entry and computer skills.
- Proficiency in Microsoft Outlook, Excel, and Word; strong Excel skills are required.
- Ability to type 50+ WPM.
- Excellent written and verbal communication skills.
- Strong problem-solving skills with the ability to identify and resolve discrepancies.
- Reliable transportation required.
