Position Summary:
The Senior Administrative Assistant provides proactive executive and administrative support to the SVP Operations. The SVP is the primary priority for this role. Occasional support for other ERO leaders and team members is provided as needed and as workload permits, with priorities established by the SVP.
The successful candidate learns the SVP’s priorities and working preferences, anticipates needs, and identifies opportunities to take administrative work off the SVP’s plate without waiting for each task to be assigned. This role requires initiative, sound judgment, discretion, and dependable follow-through.
Key Responsibilities:
- Manage the SVP’s calendar, coordinate meetings, resolve scheduling conflicts, and help protect time for key priorities.
- Anticipate upcoming needs, prepare materials in advance, and proactively recommend ways to simplify the SVP’s workload and improve organization.
- Arrange travel, including flights, hotels, ground transportation, itineraries, and changes; prepare and reconcile expense reports and corporate card documentation.
- Prepare agendas, gather meeting materials, document action items, and follow up on commitments and deadlines.
- Draft and format correspondence, presentations, reports, and other business documents; collect and organize information as needed.
- Organize meetings, offsites, and events, including scheduling, invitations, venues, catering, and materials.
- Provide light spreadsheet support, including maintaining trackers, organizing data, using basic formulas, and preparing simple summaries.
- Maintain organized files, contact information, and confidential business records; exercise discretion with sensitive communications and information.
- Assist with invoice submissions, purchase requests, basic spending tracking, and related administrative coordination with Finance and other departments.
- As requested and consistent with the SVP’s priorities, assist other ERO leaders or team members with travel, candidate interview logistics, events, and similar administrative needs.
- Coordinate with internal departments and external contacts to move administrative requests forward, resolve issues, and close the loop.
- Improve recurring administrative processes through practical checklists and templates; perform other responsibilities as directed by the SVP.
Requirements
Basic (Required) Qualifications:
- 5+ years of administrative, executive support, office management, or related experience, including direct support for a senior leader.
- Strong Outlook calendar and travel coordination skills; proficiency in Word, PowerPoint, Teams, and Excel, including basic formulas, tables, sorting, and filtering.
- Experience with expense reports, invoices, purchase requests, and accurate recordkeeping; ability to learn company systems and approval processes.
- Excellent communication, organization, attention to detail, and discretion. Demonstrated ability to anticipate needs, manage competing deadlines, and complete work independently.
Preferred Qualifications:
- Experience supporting a senior executive in energy, field services, engineering, manufacturing, or another operational environment.
- Experience coordinating travel, candidate interviews, and events; familiarity with expense, accounting, or procurement systems.
- Initiative, practical problem solving, strong follow-through, and confidence to ask useful questions and recommend improvements.
