## What You Can Expect
As a Senior Executive Assistant you would be responsible for ensuring the effective, professional, and employee focused operation of the Regional Corporate Headquarters. The job leads workplace and facilities management, corporate services delivery, administrative team leadership, employee experience initiatives, and business coordination support for the Regional President and Leadership Team.
You will oversee a safe, efficient, welcoming, and well maintained workplace; manage relevant service providers and operating budgets; establish effective administrative processes and service standards; and build a capable, responsive corporate services team.
## How You'll Create Impact
Leadership Office and Business Coordination
- Provide proactive, confidential, and high-quality business coordination support to the Regional President and Regional Leadership Team.
- Coordinate leadership calendars, key meetings, regional forums, leadership visits, travel, briefing materials, and follow up actions.
- Prepare or coordinate meeting agendas, presentation materials, briefing packs, correspondence, and action trackers as required.
- Support effective communication and coordination between the Regional President, Leadership team, team members, and external stakeholders.
- Organize regional leadership meetings, town halls, customer or stakeholder visits, and other leadership engagements.
- Exercise sound judgment and discretion in managing confidential business matters, senior leadership priorities, and sensitive communications.
- Anticipate coordination needs, manage competing priorities, and ensure timely follow through on agreed actions.
Workplace, Facilities, and Corporate Services Management
- Oversee day-to-day facilities and workplace operations, ensuring that the regional office is safe, functional, professional, and appropriately maintained.
- Manage relationships and service performance for office vendors, including building management, cleaning, security, maintenance, pantry services, office supplies, equipment, and other workplace services.
- Monitor facilities issues, coordinate timely resolution, and escalate material risks or service concerns as appropriate.
- Establish, maintain, and continuously improve workplace policies, procedures, records, and service standards.
- Oversee office administration processes, including visitor management, meeting room management, access arrangements, supplies, and workplace communications.
- Partner with relevant internal functions to support compliance with local health, safety, security, and workplace requirements.
- Manage office operating expenses and support forecasting, invoice review, purchasing, and budget control.
- Support business continuity and emergency preparedness arrangements for the regional office.
Administrative Team Leadership
- Lead the office administrative team, including secretaries, administrative specialists, and other office support personnel.
- Allocate work, clarify roles, and establish consistent service expectations and coverage arrangements.
- Develop efficient administrative processes, templates, tools, and operating routines to support leaders and teams across the regional office.
- Foster a collaborative, service oriented, accountable, and solutions focused corporate services culture.
- Ensure appropriate continuity of support during absences, peak periods, and leadership events.
Employee Experience and Team Activities
- Create and coordinate office wide activities that build connection, engagement, and a positive team culture.
- Organize employee events, celebrations, office communications, and other regional office initiatives.
- Partner with Human Resources and business leaders on employee engagement, wellness, recognition, inclusion, and culture building activities.
- Ensure workplace events are well organized, inclusive, cost conscious, and aligned with company culture and regional priorities.
- Gather feedback on the workplace experience and implement practical improvements where appropriate.

- Bachelor’s degree, diploma, or equivalent relevant professional experience in business administration, facilities management, hospitality, corporate services, or a related discipline.

## Your Background
- Significant experience in office management, facilities coordination, corporate services, business operations, or administrative leadership.
- Demonstrated experience supporting senior leaders through complex calendar coordination, meeting management, travel, stakeholder engagement, and follow up.
- Experience coordinating an office relocation, new office set up, fit out, or significant workplace transition is strongly preferred.
- People management or team leadership experience, including supervision of administrative or office support personnel.
- Strong vendor management, budget management, purchasing, and operational coordination capabilities.
- Excellent written and verbal English communication skills; additional regional language capability is an advantage.
- Strong proficiency with standard productivity, calendar, presentation, and collaboration tools.
