In this role, you will act as the data bridge between our field representatives and our internal database systems—ensuring every order, update, and communication is perfectly tracked, routed, and executed.

🚀 What Youll Achieve (The Impact)
- Data Command Center: Master and navigate proprietary databases like WinCopy, ABI Pro, Odyssey, and SolCom to translate real-world field updates into accurate digital logs.
- Mission Control for Field Reps: Track, log, and status daily field representative routes, ensuring 100% order accountability across the company.
- Cross-Department Synergy: Serve as the ultimate point of contact, seamlessly collaborating via phone and email with field personnel and internal departments to keep work orders moving.
- Team Leadership (Level III): Step up to guide and train new team members, conduct critical client research, and assist team leads with high-priority tasks to keep the engine running smoothly.
Qualifications
📋 Daily Responsibilities (What You'll Do)
Core Workflow & Data Entry
- Log statuses efficiently into the ABI computer system for all viewable and non-viewable field orders.
- Maintain individual Excel spreadsheets daily to guarantee every single order is accounted for.
- Process cancels and case settlements coming back from field routes.
- Track field numbers manually by task and input them accurately into daily tracking sheets.
Logistics & Communication
- Route and status incoming deliveries and new work orders on a daily basis.
- Redistribute work orders , physical records, and X-ray films to the appropriate departments.
- Flag and escalate errors or potential missing work orders immediately to the Team Lead or Supervisor.
- Handle essential clerical duties including mailing, emailing, faxing, scanning, binding records, and uploading files from CDs.
Advanced Level III Operations
- Conduct specialized research to provide accurate, up-to-date information for clients.
- Reschedule conflicting or missed appointments instantly to protect project timelines.
- Engage and motivate the team , ensuring everyone stays on task and stepping in to assist where needed.
🛠️ What You Bring to the Table
- Education: High School Graduate or GED equivalent required (College education is a plus!).
- Experience: Prior experience in data entry, medical, legal, or insurance claims office environments is highly valued but not strictly required.
- Tech Savvy: Comfort learning complex database systems and navigating Microsoft Excel.
- Speed & Accuracy: A proven track record of maintaining a high turnaround time while keeping data error-free.
- Discretion: Absolute commitment to maintaining confidentiality regarding field payroll and sensitive records.
