Administrative Assistant – Grant Funded (Hourly)
Job Description Summary:
Provides complex clerical, administrative, and implementation support for the THECBB Nursing Innovation Grant. Assists grant director and project manager with administrative duties including but not limited to scheduling, documentation, coordination, communications, logistics, record maintenance, and other implementation activities.
PLEASE NOTE: THIS IS A GRANT-FUNDED POSITION. This is a 0.20 FTE position funded for a 24-month project period through the Texas Higher Education Coordinating Board Nursing Innovation Grant. Continuation of the position is dependent upon the availability and duration of grant funding.
Job Description:
Description of Duties and Tasks
- Assists the Project Director, Project Manager / Clinical Partnership Coordinator, and other grant personnel with scheduling, meeting coordination, communications, documentation, and follow-up activities.
- Coordinates calendars, meeting invitations, virtual meeting links, room reservations, and other logistical arrangements for project meetings, training activities, pilot events, and partner engagements.
- Prepares meeting materials, agendas, attendance records, notes, action-item lists, and other project documentation as assigned.
- Maintains organized electronic and physical project files, records, forms, correspondence, and supporting documentation.
- Assists with tracking required grant documentation, compliance materials, approvals, participant records, and project-related forms.
- Supports maintenance of documentation related to clinical partners, faculty, students, preceptors, training activities, and other project participants.
- Assists with collecting, organizing, and entering project data used for implementation tracking, compliance monitoring, evaluation, and grant reporting.
- Communicates professionally and effectively with faculty, staff, students, clinical partners, and other project stakeholders.
- Maintains confidentiality of student, personnel, partner, and grant-related information.
- Performs other related administrative duties necessary to support successful implementation of the Nursing Innovation Grant.
- May input budget figures, prepares requisitions, logs and tracks expenditures, takes payments, or issues invoices or bills.
- May serve as a technical resource for computer hardware and software and other office equipment such as copiers and fax machines.

Required Education

Physical Requirements
- Work is routinely performed in a standard office or similar environment.
- Subject to standing, walking, sitting, bending, reaching, kneeling, pushing, and pulling.
- Occasional lifting of objects up to 10 pounds.
