Position Details

Position:  Project Manager, Executive Office

Location:  MaRS Centre, Toronto

Department:  Executive Office

Reports To:  President and Scientific Director

Hiring Range:  $79,790 - $107,060 per annum, commensurate with experience; total compensation includes a competitive benefits plan, plus a defined benefit pension plan (HOOPP).

Hours:  35 hours/week

Job Type:  Hybrid

Status:  F ull-time, Permanent (to fill one or two existing vacancies)

Position Summary

The Ontario Institute for Cancer Research (OICR) is seeking a highly organized and collaborative Project Manager to join the Executive Office. Reporting to the President & Scientific Director (PSD), the Project Manager (PM) will support the PSD in developing and executing new initiatives and programs that foster cohesion and collaboration within OICR and strengthen partnerships with research institutes and partners across Ontario. The PM will help advance institutional priorities by leading and coordinating key projects and initiatives that support OICR's mission and long-term objectives.

Working across scientific, operational, and administrative teams, the PM will provide project management for executive-sponsored initiatives, ensuring alignment, accountability, and successful execution. The PM will facilitate cross-functional collaboration, support organizational planning, monitor project performance, and drive continuous improvement efforts that enhance institutional effectiveness. This position offers a unique opportunity to work closely with senior leadership and contribute to high-impact initiatives that advance cancer research, innovation, and health outcomes across Ontario and beyond.

Position Responsibilities

Project Management

- Lead and coordinate initiatives sponsored by the President & Scientific Director, ensuring projects are delivered on time, within scope, and aligned with organizational priorities.

- Develop comprehensive project plans, including objectives, milestones, timelines, resource requirements, risk assessments, and performance indicators.

- Monitor project progress and deliverables, proactively identifying issues, risks, and dependencies and implementing mitigation strategies as required.

- Prepare executive-level project updates, briefing materials, reports, presentations, and recommendations for senior leadership and key stakeholders.

- Facilitate decision-making by gathering, analyzing, and synthesizing information from multiple sources to support project and organizational objectives.

- Coordinate cross-functional teams to ensure alignment, accountability, and timely completion of project activities.

- Lead project meetings, working groups, and stakeholder consultations, ensuring clear documentation of requirements, decisions, actions, and follow-up activities.

Process Improvement

- Recommend and lead process improvements at the project level.

- Leverage technology and emerging tools, including AI-enabled solutions such as Microsoft Copilot, to improve efficiency and organizational effectiveness.

Resource Management

- May supervise or influence project team members through allocation of resources, delegation of tasks, scheduling and prioritizing staff workloads.

- Partner with Finance for budget management of the project, expense tracking and budget to actual reporting and variance analyses.

Position Requirements

- Bachelor’s degree in health sciences, health administration, business administration or related field, or recognized equivalent

- Project management training (e.g., Project Management Professional (PMP), Lean, Agile), or equivalent experience

- Project management experience in a research, healthcare or academic environment

- Experience with Microsoft 365 (Outlook, Excel, Word, PowerPoint, SharePoint) and Copilot or similar tools

- Excellent time management and organization skills and demonstrated ability to manage multiple priorities in a fast-paced environment

- Excellent written and verbal communication skills including the ability to prepare executive-level materials and presentations

- Ability to exercise sound judgment, discretion, and professionalism when handling confidential and sensitive matters

- Proven ability to work independently and collaboratively across diverse teams

- Commitment to continuous improvement and operational excellence

- Quality and detail oriented

- Experience supporting senior leaders and managing cross-functional initiatives involving multiple stakeholder groups

- Experience coordinating financial, operational, human resources, procurement, and administrative activities in support of organizational initiatives

- Experience working onsite or remotely and utilizing online communication platforms (Zoom, Teams, Slack etc.) to work collaboratively on a daily basis
