Zayo is seeking a Lead Office Coordinator to support the daily operations of its 1359 Broadway location in New York City. This role works with executives, employees, visitors, Workplace Operations, People & Culture, IT, Security, building management, vendors, and service providers to maintain a professional, responsive, and well-functioning office environment. This position is fully in-office and requires sound judgment, discretion, hands-on problem solving, strong customer service, and the ability to support high-visibility meetings and time-sensitive workplace issues.
Key Responsibilities
- Serve as an experienced onsite office contact for employees, leaders, visitors, vendors, building partners, and internal support teams.
- Coordinate daily office operations, including mail and deliveries, courier services, FedEx shipments, conference-room reservations, hoteling-desk schedules, office supplies, break-room inventory, and shared workspace readiness.
- Support executive meetings, customer meetings, employee events, town halls, and other onsite business functions by coordinating meeting rooms, catering, supplies, visitor logistics, room setup, and day-of support.
- Monitor the condition, organization, and appearance of conference rooms, kitchens, common areas, shared workspaces, equipment areas, and other office spaces, and arrange follow-up as needed.
- Coordinate seating charts, employee moves, onboarding workspace setup, visiting employee arrangements, office capacity information, and related workplace updates.
- Identify office, facilities, maintenance, cleaning, access, security, furniture, equipment, and service-related issues and coordinate timely resolution with Workplace Operations, building management, vendors, Security, IT, or other partners.
- Perform routine checks of conference rooms and shared workspaces to confirm that displays, video-conferencing equipment, phones, printers, adapters, cables, and related technology are organized and ready for use.
- Provide basic onsite support for office and conference-room technology, including meeting setup, connection assistance, simple troubleshooting, equipment resets, accessory organization, and escalation of advanced issues to IT, audiovisual, network, or vendor support teams.
- Track open office, facilities, vendor, meeting-support, and technology-readiness items through resolution and provide timely updates to employees, stakeholders, and Workplace Operations leadership.
- Maintain organized office records, seating information, supply lists, visitor or meeting instructions, vendor contacts, issue logs, technology guides, and other workplace documentation.
Qualifications
- High school diploma or GED. Preferred: Associate’s or bachelor’s degree in business administration, office administration, hospitality, facilities management, or a related field.
- Minimum of six (6) or more years of experience in office coordination, administrative support, workplace services, facilities coordination, hospitality, customer service, or a related support function.
- Experience supporting office operations, visitor experience, meeting logistics, executive or customer meetings, employee events, supplies, vendors, facilities requests, or workplace service activities.
- Experience resolving office support issues, coordinating with internal and external partners, tracking requests through completion, and escalating issues appropriately.
- Strong organizational skills with the ability to manage multiple priorities, schedules, requests, records, vendors, meeting needs, and follow-up items simultaneously.
- Effective written and verbal communication skills, with the ability to interact professionally with employees, leaders, visitors, vendors, building partners, and internal support teams.
- Ability to exercise sound judgment, maintain confidentiality, adapt to changing priorities, anticipate office needs, and resolve routine to moderately complex workplace issues.
- Familiarity with conference-room technology, video-conferencing platforms, audiovisual equipment, printers, copiers, office Wi-Fi, Microsoft Office, Outlook, Word, Excel, PowerPoint, and Teams preferred.
Estimated base salary range: $ 42,600-$65,000 USD/annually

The base pay range shown is a guideline and reasonable estimate for this role. It takes into account the wide variety of factors that are considered in making compensation decisions. Actual compensation offered may vary from the posted range based upon geographic location, work experience, skill level, certifications, and other business and organizational needs. Non- sales roles may be eligible to participate in a discretionary annual incentive plan. Sales roles may be eligible to participate in a sales incentive plan.
Additionally, this position may be eligible for certain benefits, such as health insurance, life insurance, disability retirement plans, paid time off.
