As an Executive Assistant , you will be responsible for providing administrative and operational support to ensure efficient office operations and a positive workplace experience. You will coordinate schedules, travel, meetings, office resources, and employee activities while collaborating with cross-functional teams and external vendors. This role requires strong organizational skills, attention to details and the ability to manage competing priorities while maintaining confidentiality and following company policies.
What you'll do:
- Serve as the primary administrative contact for day-to-day office operations, workplace needs, and administrative requests.
- Coordinate business travel, expense reporting, calendars, meeting logistics, catering, and room setups.
- Coordinate office supplies, equipment, furniture, shared resources, maintenance, repairs, and service requests.
- Collaborate with Facilities, IT, Security, HR, Finance, and external vendors to support office operations and resolve requests.
- Coordinate business-related employee communications, town halls, leadership meetings, team events, and engagement activities.
- Coordinate visitor arrangements for employees, customers, executives, and other business guests.
- Track incoming requests, manage competing priorities, monitor deadlines, and follow established procedures for resolution or escalation.
- Maintain administrative records and handle confidential business information in accordance with company policies and procedures.
Basic Qualifications:
- 5+ years of experience in administrative support, office coordination, or a related field.
- Experience coordinating at least two of the following: calendars, travel, expense reporting, meetings, events, office operations, or vendor services.
- Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint, or equivalent tools.
- Experience maintaining records, processing administrative documentation, or coordinating purchasing and expense-related activities.
- Experience coordinating requests or services across multiple departments or with external vendors.
- Ability to handle confidential information in accordance with established policies and procedures.
Desired Skills:
- Experience providing administrative support to senior leadership.
- Experience supporting office operations in a large or multi-department organization.
- Experience using enterprise resource planning, expense management, scheduling, or workplace management systems.
- Strong organizational, prioritization, written communication, and verbal communication skills.
- Ability to manage competing deadlines, adapt to changing business priorities, and resolve routine issues independently.
- Demonstrated attention to detail, timely follow-through, and adherence to established procedures.
- Ability to provide responsive service and collaborate effectively with employees, leadership, vendors, and other stakeholders.
