Position Summary
The Risk Management Coordinator supports the organization's Risk Management and Patient Safety Program through coordination of projects, event reporting workflows, FTCA and regulatory activities, committees, data
collection, reporting, and follow-up. The Coordinator maintains program documentation and tracking systems, reviews event reports for completeness, gathers information to support risk assessments and root cause analyses, and monitors deadlines and corrective actions. The role works across departments to support timely, organized, and effective risk management activities.
Required Qualifications
- Associates or Bachelors degree in Healthcare Administration, Business Administration, Public Health, Nursing, Risk Management or a related field preferred.
- Three (3) to five (5) years of progressively responsible healthcare experience in healthcare operations, patient safety, quality, risk management, or related healthcare support role required.
- Medical Assistant (MA) certification or equivalent clinical healthcare experience preferred.
- Demonstrated ability to quickly learn new systems, technology, regulations, processes, and organizational workflows.
- Strong analytical, organizational, critical thinking, and problem-solving skills with exceptional attention to detail.
- Excellent written, verbal, and interpersonal communication skills with the ability to communicate professionally across all levels of the organization.
- Proficiency with Microsoft 365 applications, including SharePoint, and demonstrated ability to quickly learn and effectively utilize electronic health records, event reporting systems, databases, and other healthcare business applications.
- Demonstrated ability to coordinate multiple projects, priorities, deadlines, and follow-up activities while maintaining accuracy and organization.
- Demonstrated professionalism, sound judgment, emotional intelligence, adaptability, reliability, and discretion when handling confidential and sensitive information.
- Ability to work independently while collaborating effectively with interdisciplinary teams in a fast-paced, integrated healthcare environment.
- Ability to travel up to 15% as required.
- Commitment to HIPAA, infection prevention, professional ethics, and High Reliability principles.
Essential Responsibilities
Project and Program Coordination
- Coordinate Risk Management department projects, work plans, timelines, and action items.
- Maintain departmental calendars and monitor deadlines for FTCA Risk Management activities, quarterly risk assessments, training, committee meetings, regulatory deliverables, and recurring responsibilities.
- Track project milestones, corrective action plans, and follow-up activities.
- Develop and maintain tracking tools, dashboards, templates, and standardized documentation.
Committee and Administrative Coordination
- Coordinate Risk Management committees and workgroups, including agendas, meeting materials, minutes, attendance, action logs, and follow-up.
- Coordinate departmental communications, scheduling, shared inboxes, and cross-functional follow-up.
- Prepare reports, presentations, correspondence, and other departmental materials.
Documentation and Event Reporting Support
- Maintain confidential Risk Management records, databases, committee files, and program documentation.
- Gather, organize, maintain, and validate data to support reporting and monitoring.
- Review event reports for completeness and coordinate intake, routing, documentation, tracking, follow-up, routine reporting, and trend monitoring.
- Perform electronic health record (Epic) reviews to support event reviews, risk management activities, quality improvement, and regulatory requirements.
- Support event reviews, root cause analyses, and risk assessments by gathering information, coordinating activities, maintaining documentation, and monitoring follow-up.
Regulatory & Department Support
- Support FTCA Risk Management Program activities, accreditation surveys, regulatory reviews, audits, training activities, and other departmental priorities through coordination, documentation, tracking, and follow-up.
- Assist with preparation and organization of materials for reqgulatory reviews, surveys, audits, and program activities.
- Participate in departmental meetings, training, and professional development activities.
- Perform other related duties as assigned.

Physical Demands and Work Environment
The work environment is characteristic of a typical office environment. The employee must also possess hearing and speech to communicate in person and over the phone. The noise level in the work environment is usually quiet.
The employee may be in contact with individuals and families in crisis who may be ill, using substances and/or not attentive to personal health and safety for themselves or their homes. The employee may experience a number of unpleasant sensory demands associated with the clients use of alcohol and drugs, and the lack of personal care. The employee may also be exposed to bodily fluids (blood, urine) and hazardous chemicals.
