Essential duties, responsibilities, and performance measures
Service Excellence: Promotes tenant-centred services through safe, efficient, compliant and well-organized operations.
a) Aligns all activities with Bethany Care Society’s Mission, Vision and Values, processes and policies, and external acts and regulations, including but not limited to the Residential Tenancies Act and the Social Housing Accommodation Regulation.
b) Under the guidance and direction of the Site Manager, executes day-to-day operational activities for the site, ensuring site functions are efficient and effective.
c) Responds to tenant, family, visitor, employee, and contractor needs and requests in a timely, accurate and professional manner.
d) Implements the tenant intake process for designated sites, including adhering to the established application and waitlist coordination process, establishing initial contact with applicants, providing site tours, approving applications (subject to Site Manager review), and coordinating the move-in process.
e) Implements the tenant move-out process.
f) Monitors the facility and reports building upkeep and maintenance concerns, collaborating with the maintenance and housekeeping teams to ensure the facility is effectively maintained.
g) Identifies tenants’ needs and supports referrals to appropriate resources in collaboration with the Site Manager and/or Social Worker.
h) Ensures continuity of services when the Site Manager is unavailable.
Financial/Documentation: Ensures accurate and timely processing of documentation.
a) Ensures documentation collection, usage, storage and disposal comply with all relevant requirements, including Bethany Care Society policies and associated external regulations including but not limited to the Residential Tenancies Act, Social Housing Accommodation Regulation, and the Protection of Privacy Act (POPA).
b) Maintains accurate and current documentation, including financial records, tenant and vendor files, and forms.
c) Monitors the effective use of equipment and supplies.
d) In conjunction with the Site Manager, ensures annual rent reviews and adjustments occur and are properly documented.
e) Collects all tenant fees and processes them according to established procedures.
f) Notifies the Site Manager of outstanding accounts and follows up promptly.

a) Actively participates as a team member by collaborating respectfully with colleagues and contributing to site/team activities, initiatives, and committees as required.
b) Initiates and promotes constructive, supportive relationships with tenants, families, visitors, employees and contractors.
c) Actively demonstrates and models the Mission, Vision, and Values of Bethany Care Society in all interactions, setting a positive example for tenants, families, visitors, employees and contractors.
Safety: Promotes and maintains a safe environment for self, tenants, families, visitors, employees and contractors by understanding, modelling, and consistently enforcing safety policies and best practices.
a) Works safely to support personal wellness and reduce absenteeism.
b) Proactively identifies, assesses, and mitigates unsafe conditions and reports hazards and incidents to ensure a safe environment for tenants, families, visitors, employees and contractors.
c) Understands and complies with the Workers’ Compensation Act, Occupational Health and Safety legislation, and all internal and external safety and emergency policies and procedures.

a) Completes recommended or required education sessions.
b) Identifies and attends relevant personal and professional development opportunities.
c) Applies newly acquired knowledge and shares learning with co-workers.
Qualifications
Education
- High School Diploma or equivalent.
- Office Administration Diploma or Certificate.
Experience
- Minimum of one year of property management experience, including working knowledge of accounting procedures, leasing, marketing, and customer service.
- Previous experience working with seniors and/or marginalized populations.
Asset Experience
- Property Management Certificate from a recognized institution.
Additional Essential Skills
- Strong interpersonal, verbal, and written communication skills.
- Proficiency in applications including Microsoft Office (Word, Excel, Outlook) and property management software.
- Empathetic and customer-focused approach.
- Skilled in conflict resolution, managing tenants in crisis, and de-escalating challenging situations.
- Demonstrated time-management and organizational abilities.
- Access to a vehicle and a valid driver’s license, as travel between sites is required.
Physical Requirements
- Good vision and hearing (with correction if needed) are required.
- Able to spend prolonged periods at a desk using a computer and monitor and performing other close visual work as required (sitting, handling, touching, finger dexterity).
- Able to kneel, bend, stoop and perform light lifting as required.
