JOB SUMMARY

This is an exempt position. Employees in this role are expected to perform the duties and responsibilities assigned to them and are not compensated based on hours worked.

Due to the nature of the position, work schedules may vary, and the role may require working more than 40 hours in a workweek and/or more than 8 hours in a day as necessary to meet business needs, including evenings, weekends, or peak operational periods.

Candidates applying for management positions are expected to possess the professional knowledge, leadership capabilities, and functional expertise required to perform the essential duties of the role. While onboarding will be provided to familiarize successful candidates with Company-specific systems, processes, and culture, management hires are expected to bring with them the core competencies necessary to lead, make decisions, and achieve results within their area of responsibility.

The Assistant Director of Housekeeping is to assist the Director of Housekeeping in the overall management of the Housekeeping Department.

ESSENTIAL DUTIES & FUNCTIONS

- Operational Responsibilities

Responsible for aiding the Director of Housekeeping in running the housekeeping operation and cleanliness levels in all areas of the property.

- Managerial Responsibilities

Assist the Director of Housekeeping with all assigned duties

- Direct supervision of room attendants, lobby attendants, housemen, and supervisors

- Responsible for checklist completion

- Ensure room attendants and housemen have electronic devices/ work phones in working order.

- Check rooms (checkouts and stayovers) daily, and ensure that quality is being maintained by the room attendants and houseman

- Ensure that standards in rooms and public areas are being enforced by the supervisors, room attendants, housepersons, and laundry attendants

- Stay in constant communication with the Engineering Department to maintain and correct all repair and renovation problems.

- Oversee the smooth operation of the afternoon and night shifts.

- Staffing and scheduling with the Housekeeping Department, adhering to strict budget control.

- Ensuring all staff have sufficient tools to complete their duties.

- Collects room attendants reports and keys and ensures that all guest room floors are in order.

- Fosters good relations and teamwork with all other departments

- Strives to always achieve utmost guest satisfaction in any situation.

- Overall administration of all employees assigned to the Housekeeping Department

- Performs supplies inventories and assists with supplies ordering

- Opens the housekeeping department as needed, prepare and designates room attendants and houseman daily assignments, including PM room attendants, turndown and late check-out rooms, as well as DND room assignments

- Assist Director of Housekeeping with STARR role-plays and weekly training topics

- Relentlessly train and motivate customer service employees

- Maintain integrity of cost controls and proper maintenance of hotel assets.

- Any other duties assigned by the Director of Housekeeping

- Guest Services

Ensure all hotel cleanliness standards are upheld to ensure guest satisfaction

- Responsible for responding to guest requests and guest interactions to the Valencia standard

- Have a positive attitude with internal and external guests and be an integral part of a positive and inclusive work environment

- Display team spirit and collaborate with the other departments

- Always apply the principles of trust, honesty, respect, integrity, and commitment.

- Help establish confidence in the housekeeping team among peers throughout the hotel and throughout Valencia Group.

- May use device (Alice App) to communicate with team members internally during shift to assign/ complete tasks.

- Team Support and Training

Required to complete a two-week training checklist and hands-on position training.

- Ensure that safety committee and Stellar committee attendees are present at meetings

- Attends all required meetings and training.

- Establishes effective, two-way communication with all subordinates.

- Effectively coaches and develops all members of the Housekeeping/Laundry team.

- Holds all members of the Housekeeping/Laundry team accountable for performing to standards.

- Establishes confidence in the Housekeeping/Laundry team among peers throughout the hotel.

- Must be comfortable using the Paycom app or computers to complete training

- Communication and Reporting

Constant communication with all departments. Must be able to navigate a work phone and communicate via hotel-provided applications.

- Safety & Compliance

Maintaining a safe environment, following hotel policies, or meeting industry compliance standards.

- Ensure chemicals are used according to OSHA regulations and Hotel Valencia standards.

- Ensure all equipment is properly cared for and secure at the end of each shift.

- Wear required personal protective equipment (PPE), including non-slip shoes, gloves, and other safety equipment as needed.

- Properly handle, label, and store cleaning chemicals and hazardous materials.

- Immediately report unsafe conditions, damaged equipment, accidents, injuries, or near misses

- Follow proper lifting and material-handling procedures.

- Keep walkways, exits, and emergency equipment clear and accessible.

BASICS

- Maintain cleanliness and organization in all work areas

- Display courteous behavior with guests and team members

- Report any unsafe conditions immediately

- Ensure hotel equipment is in proper working condition

- Attend required meetings and trainings

- Follow company policies and procedures

- Perform any additional duties assigned by the supervisor

Physical Requirements

- Sitting: Frequently. Padded office chair, chair with back for breaks and meal periods.

- Standing/Walking: Constantly. Stairs, tile, rubber mats covering tile, linoleum, concrete, padded carpet, marble and gravel, etc.

- Crouching (Bend at the knees): Frequently. Lifting, completing tasks performed at low levels, putting supplies and materials away

- Reaching (Overhead/Extension): Frequently. Performing repairs, retrieving supplies and materials, updating shop board.

- Kneeling/Crawling: Frequently. Perform plumbing and carpet repairs.

- Stooping (Bend at the waist): Frequently. Reading gauges and meters, lifting heavy objects, putting supplies and equipment away.

- Twisting/Turning (Knees/waist/neck/back): Frequently. Performing cosmetic, electrical, plumbing, and other hotel repairs. Reading gauges and meters, following up on projects.

- Climbing: Frequently. Ladders, step stools, stairs, etc.

- Balancing: Frequently. Climbing ladders, scaffolding, stairs and carrying tools and equipment.

- Enclosed Area: Frequently. Areas with restricted space such as ceiling spaces, etc.

- Lifting/Carrying: Frequently. Equipment and supplies weighing up to approx. 5-50 lbs. Occasionally: Equipment and supplies weighing up to 100 lbs.

- Pushing/Pulling: Frequently. Equipment carts, racks, etc. weighing up to 100 pounds. Occasionally: Equipment up to 50 lbs

Working Environment

- Interior: All interior areas of the hotel. Exposure to extreme hot and cold temperatures.

- Exterior: All exterior areas of the hotel with exposure to weather conditions

- Exposure to various hazardous materials and chemicals.

Qualifications

CANDIDATE PROFILE

Education and Experience

- High School Diploma/ equivalent

- Previous managerial housekeeping experience preferred

- Previous experience in a boutique hotel is a plus

- Minimum one year experience in a leadership role either in Housekeeping or Front Office preferred

ESSENTIAL SKILLS AND QUALIFICATIONS

- Previous supervisory experience in either housekeeping or front office preferred, but not necessary.

- Effective management, leadership, organizational, and communication skills

- Multitask-oriented

- Practical and organized in a small work area

- Ability to overcome obstacles through resourceful means

- Neat, professional appearance and good personal hygiene

- Able to work varying schedules to reflect the business needs of the hotel. In addition, attendance at all scheduled training sessions and meetings is required.

- Excels in a fast-paced environment

- Ability to communicate with guests, associates, and management.

- Ability to take direction from hotel and housekeeping management

- Proficiency in Microsoft Word and Excel

- Ability to perform assigned duties with attention to detail, follow-through, courtesy, cooperativeness, and work with a minimum of supervision
