Position Overview:

We are seeking a highly organized and proactive Administrative Assistant to provide day-to-day administrative support to the Chief Technology Officer and the broader IT organization. This role will help coordinate meetings and events, support employee onboarding, manage departmental administrative activities, and help keep the IT department organized and running smoothly. The ideal candidate is dependable, detail-oriented, comfortable working with people across the organization, and able to manage multiple priorities with limited direction. Because the role supports the Technology organization, the individual should also be comfortable with technology and willing to use modern productivity and AI tools as part of their day-to-day work.

Acadian supports a hybrid work environment; employees are on-site in the Boston office 3 days a week.

What You’ll Do:

- Coordinate IT meetings, town halls, off-sites, team events and other department activities, including scheduling, rooms, catering and meeting materials.

- Provide administrative and scheduling support to the CTO and IT leadership team as needed.

- Coordinate onboarding and offboarding logistics for IT employees and contractors.

- Assist with purchase orders, invoices, expenses, vendor documentation and other departmental administrative activities.

- Maintain department calendars, distribution lists, shared resources and administrative records.

- Assist with preparation and formatting of presentations, meeting materials and department communications.

- Coordinate travel and related logistics as needed.

- Work with HR, Finance, Procurement, Facilities and other internal teams on administrative matters.

- Use available technology and AI tools to improve efficiency and simplify routine administrative work.

- Provide general administrative support and assist with department projects as needed.

We’re Looking for Teammates With:

- Bachelor’s degree and 3–5 years of administrative, office coordination or similar experience.

- Experience supporting an IT, Technology, Engineering or similar corporate function is helpful but not required.

- Strong organizational skills and attention to detail.

- Ability to manage multiple priorities and work independently.

- Strong written, verbal and interpersonal communication skills.

- Professional judgment and discretion when handling confidential information.

- Proficiency with Microsoft Office and common workplace collaboration tools.

- Comfortable learning and using new technology, including AI-enabled productivity tools.

The base salary range for this role is $90,000 – $100,000 per year. Actual compensation will be determined based on a candidate’s skills, qualifications, and relevant experience. In addition to base pay, this position may be eligible for discretionary incentive compensation and includes participation in Acadian’s comprehensive benefits program, which includes health, retirement, and wellness offerings.
