The Opportunity
Reporting to the Manager, Material Coordination, the Material Coordinator provides end-to-end coordination of project materials across the project lifecycle. The role partners with Project Management, Engineering, Project Controls, Supply Chain, Logistics, and Construction stakeholders to plan material requirements, coordinate procurement activities, monitor material status, and resolve delivery issues. The primary accountability is ensuring materials are available when and where they are needed to support safe, efficient, and timely project execution.
What you'll do
- Review Bill of Material (BOM) with the Project Engineer to identify TC-supplied materials. Typical milestones include:
- 30% design: long-lead equipment and materials.
- 60% design: commodity items with longer lead times.
- 90% design: readily available bulk or commodity items.
- IFC and beyond: capture any missing items.
- As directed by the Project Engineer for projects that do not require third-party design.
- Prepare the initial Material Request Form (MRF) for Project Engineer approval. The MRF includes: Material Master, if known.
- Material description and quantity.
- Project charge code.
- Delivery location, per the Project Manager.
- Required delivery date, per the Project Manager.
- Requirements for third-party inspection (3PI).
- Send the approved MRF to Supply Chain to request a quotation or bid.
- Request quotes or bids from the Buyer and engage the Project Engineer for approval.
- Request a new SAP Material Master when required.
- Convert the approved MRF and quote into an SAP requisition.
- Receive vendor submittals, including MTRs, certificates, and drawings, from the Buyer and route them to the Project Engineer for approval.
- Send approved vendor submittals to the Document Controller for appropriate handling.
- Review the Material Status Report (MSR) with the Expeditor weekly or biweekly and work with the Expeditor to proactively inform the Project Manager of delivery risks.
- Monitor PO completion and work with the Buyer to close and decommit POs progressively.
- Provide the field-based construction team with relevant documentation.
- Enter Goods Receipts for all items.
- Enter requisitions to adjust requisitioned quantities based on actual quantities received, where applicable, such as pipe footage.
- Reorder materials to address quality issues or shortages identified by the field-based construction team and Expeditor, as applicable.
- Incorporate material lead-time estimates from Supply Chain and develop a schedule for placing material orders in time to meet the project schedule.
- Review technical drawings with a high level of attention to detail.
- Coordinate design deliverables from Project Engineering or the Engineering Service Provider (ESP) to Supply Chain to support timely Requests for Quotation (RFQs) and subsequent awards according to the Material Matrix schedule.
- Work with the Materials Management and Warehouse teams to identify available inventory and/or surplus materials.
- Create SAP reservations for materials in inventory, based on design Bills of Materials provided by Project Engineering.
- Monitor and assist with expediting critical components.
- Work with project disciplines, including Engineering, Purchasing, Expediting, Logistics, Warehousing, Fabrication, and Construction, to update the Material Status Report with quantities, timelines, and material locations.
- Help locate documents and records, including Material Test Records (MTRs), associated with project materials and required to support construction and commissioning activities.
- Resolve material discrepancies involving quantities, quality, or supporting documentation within the applicable functional groups.
- Work with Expeditors to anticipate material issues, including late deliveries, shortages, or damage, and develop and execute recovery plans.
- Ensure supplier and fabricator deliveries are expedited on a predetermined schedule so required-at-site (RAS) dates are met.
- Instruct the Warehouse to release and issue materials to the Fabricator, from the Fabricator to the site or laydown yard, and ultimately to the Construction Contractor.
- Coordinate physical receipt of materials at the Warehouse, project site or laydown yard, Fabricator, and/or Construction Contractor.
- For materials delivered directly to TC warehouses, coordinate with warehouse personnel who typically enter the Goods Receipt.
- Identify surplus materials for transfer to inventory and/or Investment Recovery.
