About this role

Accounting Specialist III

Humane Society of the Pikes Peak Region (HSPPR) | Accounting/Finance | Colorado Springs, CO | Full-time, Non-Exempt | Fully On-Site

---

Keep the Numbers Right. Keep the Tails Wagging.

Every vet visit, every bag of food, every warm blanket in a kennel starts with someone making sure the money works. At HSPPR, that someone is you.

We're looking for an Accounting Specialist III to be a key player on our Accounting team. You'll keep our daily financial operations accurate and on schedule, which helps us offer compassionate care to animals, support safe communities, and provide socially conscious sheltering. You'll work with people across the whole organization, from shelter managers to vet clinic partners, and see how your work supports the mission.

What You'll Do:

Own the daily receipt reconciliations.
You'll maintain reconciliations for multiple departments, linking daily cash reports and receipt images to department Excel workbooks, auditing the work, tracking down variances, and rolling everything up into a master workbook that powers our month-end close.

Keep accounts payable moving.
You'll partner with fellow accounting staff to take invoices from the moment they arrive to the moment a check or ACH payment goes out. That includes:

- Working in our paperless invoice platform (which connects to our accounting system) and guiding department managers through approvals

- Coding invoices by location, department, and program in line with budgets

- Reconciling vendor statements and solving invoicing puzzles

- Preparing and mailing check payments and assisting with ACH processing

Run credit card processing.
You'll code, enter, and post credit card expenses in our accounting system.

Be the go-to person for our vet clinic partners.
You'll be the main contact for the external vet clinics that provide contract services to us, sending monthly statements, processing payments, and reconciling to their records.

Handle the details that keep things running.

- Set up new vendors and collect W-9s to support 1099 reporting

- Resolve purchase order and packing slip issues with department managers

- Process voided checks, reissues, and stop payments

- Count cash receipts and make bank deposits (on a rotation with your teammates)

- Prepare and audit year-end 1099s

- Cross-train with and help train other accounting staff, and step in for Accounting Specialist I and II duties when needed

Help us go digital.
We're moving from paper-based to digital accounting processes, and we want your ideas and energy to help make that transition smooth.

What You Bring

Required

- 3+ years of experience in accounting, data entry, administration, or customer service (a college degree or coursework is a plus)

- Intermediate to advanced Microsoft Excel skills

- Intermediate proficiency with Word, Outlook, and Adobe Acrobat Pro

- A strong grasp of general ledger accounting principles and financial statements, including how accounts payable transactions affect the GL

- Excellent attention to detail, accuracy, and documentation habits

- The ability to work independently, solve problems, and make sound decisions within your scope

- Good communication skills and the ability to handle confidential information with discretion

- The knack for juggling multiple tasks and rolling with interruptions

- A valid Colorado driver's license and an insurable driving record

Preferred

- Experience with MIP Fund Accounting (Abila) and AvidXchange
