Role: VISA APPLICATION SUPPORT OFFICER

1. Role Overview

The Visa Application Support Officer provides administrative and document preparation support to Migration Solutions' registered migration agents (RMAs) and immigration lawyers. The role does not provide immigration advice or make case decisions: all substantive migration assessments, advice, and sign‑off remain with the client's Australian‑registered agents and lawyers. The Manila‑based officer works to documented checklists and instructions, escalating anything outside scope.

The role would need the staff to work from one of Acquire’s office in Manila.

2. Key Responsibilities

•  Collate, review, and organise supporting documents submitted by visa applicants against agent‑supplied checklists.

•  Prepare draft visa application forms and supporting schedules for review and lodgement by the registered migration agent or lawyer.

•  Liaise with applicants and referring agents to follow up on missing or incomplete documentation, under agreed scripts and escalation rules.

•  Maintain case files and trackers in the client's case management system, keeping status notes current.

•  Monitor Department of Home Affairs processing timeframes and portal updates relevant to open cases, flagging changes for agent review.

•  Support quality checks (formatting, translation certification, completeness) before an agent finalises and lodges an application.

•  Maintain strict confidentiality of applicant personal and immigration information in line with Australian Privacy Act obligations and client policy.

3. Qualifications and Experience

Minimum qualifications

•  Diploma in Business Management, Diploma of Leadership, or an equivalent business/administration diploma.

•  A bachelor's degree in a related field (business, legal management, or similar) is an advantage but not required.

Experience

•  2–3 years in an administrative, paralegal, back‑office, or document processing role, ideally within a BPO, legal, or professional services environment.

•  Prior exposure to Australian visa, immigration, or compliance‑driven document processing is highly regarded but not mandatory; structured training will be provided by Migration Solutions.

•  Demonstrated experience following strict checklists, SLAs, and quality standards in a client‑facing offshore delivery role.

4. Skills and Attributes

•  High attention to detail and accuracy when handling forms, personal data, and compliance‑sensitive documents.

•  Strong written and verbal English communication for liaison with Australian‑based agents, lawyers, and applicants.

•  Working knowledge of MS Office / Google Workspace and comfort learning case management and document portals.

•  Ability to manage a caseload against deadlines, escalating rather than making unsupervised judgement calls on case matters.

•  Discretion and sound judgement in handling confidential personal and immigration information.

5. Engagement Model and Reporting

This role is proposed under Acquire Intelligence's Remote Teams model: Migration Solutions engages a dedicated, Manila‑based staff member on a pass‑through salary plus fixed monthly service fee, with day‑to‑day direction retained by Migration Solutions' Australian team. Acquire Intelligence provides local employment administration, facilities, IT, and people support out of its Manila delivery centre.
