About this role

We are searching for a proactive, highly organized Executive Administrative Business Partner 2 (EABP 2) to support a VP, in addition to four Director-level leaders within the Places organization. The ideal candidate is a self-motivated, entrepreneurial problem-solver who thrives in a fast-paced environment, manages competing priorities with minimal supervision, and takes ownership of outcomes rather than waiting to be asked — thinking end-to-end to anticipate needs and increasingly solve problems independently on the leader’s behalf. This role requires close collaboration with the broader EA community supporting executive leadership, including partnering effectively with other EAs supporting C-level leaders to coordinate across a highly matrixed organization. This role is hybrid, onsite in our Oakland, CA office a minimum of three days a week, with occasional travel to Mountain View, San Francisco, or other locations several times per year.

Responsibilities

- Calendar Management: Manage complex calendars for the VP and four supported Directors, proactively qualifying meeting requests, resolving conflicts, and prioritizing time based on business-critical needs.
- Travel Coordination: Coordinate complex domestic and international travel and itineraries, proactively troubleshooting disruptions to keep leaders’ schedules on track.
- Cross-Functional Collaboration: Interact cross-functionally with departments, employees, vendors, and customers seeking time with departmental leaders; partner closely with peer EAs supporting C-level leaders to coordinate schedules and priorities across the organization.
- Communication & Correspondence: Provide timely, professional responses to emails, voicemails, and written correspondence on behalf of the leaders supported, serving as a trusted communication liaison.
- Meeting & Event Coordination: Plan and execute large meetings, offsites, and team events, from logistics and venue coordination to agenda preparation and materials.
- Confidential Document Management: Handle details of a highly confidential and critical nature with absolute discretion, exercising sound judgment grounded in deep knowledge of the organization.
- Onboarding Support: Successfully plan and execute onboarding for new employees joining the organization.
- Financial Administration: Prepare and track executive expense reports and purchase orders in accordance with company policy.
- Space & Office Management: Manage space requirements and office logistics for supported leaders, effectively organizing and maintaining the team’s business environment.
- Business Acumen: Maintain an active pulse on the organization’s vision, strategy, and priorities, staying ahead of leaders’ needs and representing them effectively to others.
- Tech Adaptation: Quickly learn and apply company systems and procedures, adapting to new technologies and tools to maximize efficiency.

- Exceptional judgment and discretion in handling highly confidential information with 100% integrity
- Experience coordinating complex domestic and international travel
- Experience planning and executing large meetings, offsites, and team events
- Excellent written and verbal communication skills, with the ability to build effective relationships across all levels of the organization, including peer EAs and C-level support staff
- Cultural steward — brings an element of fun and caring to the workplace
- Expert-level knowledge of Google Workspace; familiarity with Zoom and Slack
- Advanced Outlook calendar management is critical
- Experience with Concur and Coupa (or similar purchase order systems) a plus
