- Allocate expenses to the correct project, entity, and detailed cost category to ensure accurate project-level cost tracking and reporting.
- Follow up internally with the team, contractors, and consultants to obtain missing invoices, receipts, supporting documents, and expense allocations.
- Review supplier invoices and supporting documentation to verify charges, quantities, rates, and costs against project records, delivery dockets, and other relevant information.
- Manage weekly accounts payable preparation, including compiling payment schedules and circulating invoices for internal review and approval. Final payments will remain with the client.
- Prepare and lodge monthly BAS, ensuring transactions are accurately recorded and supporting documentation is complete.
- Assist with monthly financial reporting and ensure project costs are accurately captured for reporting and feasibility purposes.
- Track intercompany and project-related loans, prepare loan documentation, record amounts and applicable interest rates, and coordinate documentation for signing and recordkeeping.
- Assist with property settlement accounting by coordinating supporting documents, following up on bank and legal invoices, and checking the accurate recording of settlement-related costs and GST.
- Work closely with the client's external accountant to support accurate financial records, tax compliance, and settlement-related accounting requirements.
- Identify opportunities to streamline bookkeeping processes, improve data accuracy, and automate repetitive tasks using technology and AI tools.
- As the processes mature, contribute to more detailed project cost analysis, reporting, and construction cost tracking to support informed business decisions.

Skills you have:

- Solid working knowledge of Xero, including bank reconciliation, accounts payable, expense coding, and financial recordkeeping.
- Strong understanding of general accounting principles and Australian accounting requirements, particularly GST and BAS preparation and lodgement.

- Proficiency with Hubdoc, OneDrive, or similar document management tools.
- Excellent attention to detail and a methodical approach to checking invoices, receipts, cost allocations, and supporting documentation.
- Strong follow-up and problem-solving skills, with the confidence to chase missing information and resolve discrepancies independently.
- Clear written and verbal communication skills, with the ability to communicate professionally with internal stakeholders, external accountants, suppliers, and consultants.
- Highly organised and comfortable managing competing priorities, recurring deadlines, and a growing volume of invoices.
- Tech-savvy and open to using AI and automation tools to improve workflows and reporting.

Skills that will make you stand out:

- A CA or CPA qualification.
- Previous experience in property development, construction, civil works, or project-based accounting.
- Experience in management accounting, project cost reporting, cash flow tracking, or financial analysis.
- Experience managing intercompany transactions, shareholder loans, property settlements, and project-related expenses.
- An interest in AI tools, workflow automation, and improving finance processes through technology.
