About Userlane

Userlane is a software adoption platform that shows enterprises whether their software and AI investments are actually working. Our team works with some of the biggest names in regulated industries, helping them get real value from technology and giving their employees the right support inside software applications they use every day. Based in Munich, growing internationally. Userlane combines Application Intelligence and Contextual Assistance for regulated industries. Application Intelligence shows where software creates cost and friction across the estate. Contextual Assistance helps people get work done in the moment, without training burden. We work with healthcare organizations across the US and Europe, helping clinical and operational teams work confidently in complex systems like EHRs and other core clinical and business applications.

Your mission

Make our Munich office the place people want to be.
At Userlane, the People Experience team is the heartbeat of the company, and our office is where that becomes visible every day. You’ll make sure the office runs smoothly and that our events bring people together, from quarterly coworking weeks to our annual company event. It’s hands-on, detail-heavy work, and you know that the small things done right are exactly what people remember. We’re not looking for someone to tick off tasks; we’re looking for someone who brings energy and ownership to our team and office.
We’re open to different ways in: as a working student, as an intern, or starting with an internship and continuing as a working student afterwards.

Your responsibilities
You’ll work on opportunities such as:

- Keeping our office running:  Restock supplies, snacks, and drinks, handle mail, and make sure our office at St. Martin Str. 102 is organised and ready for the team.
- Being the first point of contact:  Answer office questions and coordinate with our service providers, including cleaning, plant care, and IT.
- Bringing the team together:  Plan and run our annual company event and our quarterly coworking weeks in Munich.
- Welcoming colleagues from outside Munich:  Coordinate their yearly visit, including travel, accommodation, and agenda.
- Hosting external guests:  Coordinate external events in our office, which we rent out through an online booking platform.
- Owning budgets and vendors:  Manage event budgets, vendors, and venues, and keep costs on track.
- Using AI to work smarter:  Bring ideas on how AI tools can simplify event planning and office processes.

You won’t do this alone. The People Experience team works closely with you and supports you on all larger events.

Your profile

- You’re enrolled at a German university for the full contract term. For the internship, both mandatory and voluntary internships are welcome.
- You’re based in or around Munich and available for approx. 20 hours per week as a working student (4 days preferred) or 35 hours per week as an intern, all in the office.
- You believe a great office and great events are part of a company’s culture, not just logistics.
- You’re organised, reliable, and proactive: you notice what needs doing before someone asks.
- You’re comfortable coordinating with external vendors and keeping several things moving at once.
- You enjoy being the on-site heart of an international team, with colleagues in Munich and across Europe and the US
- You’re fluent in English and speak German at B2 level or higher.
- First experience in office management or event organisation is a plus.

What's in for you

- Team & culture: A fun, engaged, motivated, and diverse team with people from over 20 countries.
- AI skills: Join our weekly AI training sessions every Friday and learn to use AI tools in your daily work.
- Impact: Real ownership of our office and events from day one. Your work is visible to every colleague.
- Growth: Hands-on experience in office and event management, regular 1:1s, and coaching from the People Experience team.
- Future prospects: The option to extend your contract or join us full-time after graduating.
- Equipment: Your own laptop and access to AI tools.
- Office perks: Free drinks, snacks, and fruit in a well-equipped, central Munich office.
