✨ About the Role
The Academic Operations Manager keeps Verto's academic operations running smoothly across our global study centers. Reporting to the Associate Director of Academic Operations (ADAO), you'll be a key operational driver on the Academic Affairs HQ (AAHQ) team - running projects end-to-end in Asana, collaborating with AAHQ leadership for department-level project management, and working closely with the Director of Academic Operations to translate academic needs into technology requirements. This position works closely with the ADAO to manage academic-technology systems and ensures access to timely, reliable data, reports, tools, and support needed across the global academic team to support academic operations.
This is a hands-on, individual-contributor role. You'll act as a functional resource and escalation point the on-site Academic Operations team relies on, working closely together to build a regular cadence for academic operations. This role is responsible for driving projects and progress to achieve goals and critical milestones within the academic and company calendar. You'll sit at the intersection of on-site academic operations and US-based leadership, so comfort working with multiple stakeholders and across time zones is essential.
🚀 What You’ll Be Doing
Academic Project & Operations Management
- Manage AAHQ's cyclical and one-off projects end-to-end - launching, assigning, and monitoring work in Asana and keeping projects on schedule and within scope.
- Collaborate with key project stakeholders to ensure work assignments are on track and in alignment with departmental goals, priorities, and OKRs.
- Coordinate the academic-operations calendar, cross-functional and team handoffs, and site localization to keep all stakeholders aligned on timelines, dependencies, and status.
- Maintain and update the resources and templates behind recurring AAHQ processes in the academic lifecycle (e.g., Add/Drop week, Course & Faculty Evaluations, Onboarding, etc.).
- Author and maintain standard operating procedures (SOPs) as directed for recurring AAHQ workflows so knowledge is captured and repeatable.
- Work closely to bridge academic operations and projects between onsite and HQ academic teams, translating global-to-local operational needs and standards to ensure alignment with standard operating procedures, policies, and Academic Provider standards.
Academic Technology
- Scope and document business requirements for academic-technology projects, working with stakeholders to define needs and success criteria. Quality assurance (QA) and testing for Academic technology projects, reviewing and testing changes, catching issues before they reach users, and confirming fixes.
- Serve as a “power user” of the department's in-house and external academic-technology systems, including but not limited to the schedule management tools, Canvas (LMS), Dropout Detective (student monitoring), and Qwickly (attendance tracking), acting as the go-to expert resource and troubleshooter for how they work.
- Monitor academic technology systems to ensure functionality, identify and communicate issues and solutions if operations are impacted, implementing system enhancements or recommending changes to tools or operating practices to support continuous improvement.
- Serve as an account administrator for externally contracted tools, operating with a deep understanding of tools, ensuring adherence to data privacy and FERPA, and designing or facilitating system training.
Data Analytics & Reporting
- Monitor and manage department data: build and maintain academic reports and dashboards, regularly monitor and provide data for decision-making and formal reporting needs from a variety of sources, like Salesforce, Canvas, and Google products.
- Ensure data accuracy and consistency across systems.
- Turn raw data into clear data for quality analysis. Develop actionable insights and decision-ready summaries in a variety of formats (from informal Slack updates to formal board deck presentations).
- Support standard and ad-hoc AAHQ department leadership reporting requests and prepare external reporting for Business Reviews, End of Semester analysis, Annual Reporting, or other projects as necessary.
Operations Support and Training
- Partner closely with the onsite Academic Operations Specialists across Verto study centers to monitor academic technology use and gather feedback, serving as the first point of contact for escalations, providing ongoing systems expertise and training support.
- Monitor quick, sufficient resolution of Academic Operations support tickets, providing escalated triage and turning recurring tickets into systemic fixes.
- Support global onsite academic operations through peak periods such as Schedule Building/Auditing and Add/Drop, coordinating across centers and time zones.
- Serve as project lead for credentialing, onboarding, and offboarding processes for faculty and academic systems onboarding for onsite staff in collaboration with key stakeholders in People Operations, Technology, and study center leadership.
- Plan and coordinate logistics for AAHQ team offsites, including scheduling, travel coordination, agenda development, and working with vendors.
- Identify, utilize, and/or recommend technology and/or AI-based solutions to address departmental and operational bottlenecks.
- Contribute to onboarding and training materials that help onsite teams adopt processes and systems consistently.
- Facilitate process retrospectives and translate stakeholder reflections into decision points and action items.

👀 Who We’re Looking For
Someone who is highly organized and systems-minded, energized by turning messy, recurring work into clean, repeatable processes. You're a natural troubleshooter who enjoys being the person others come to when something breaks, and you're comfortable supporting colleagues across centers and time zones without needing formal authority to get things moving. You bring a bias toward action, sweat the details, and care about making the onsite teams' jobs easier.
