Job Title: Medical Assistant Job Description
The Medical Assistant supports a busy orthopedic practice by providing high-quality clinical and administrative care to patients across multiple office locations. This role uses ModMed as the electronic medical record (EMR) system to document visits, manage patient information, and coordinate care. The Medical Assistant works closely with healthcare providers to ensure smooth patient flow, accurate record-keeping, and an excellent patient experience in a high-volume environment.
Responsibilities
- Utilize ModMed EMR to accurately document patient encounters, update medical histories, and maintain comprehensive, confidential patient records.
- Take vital signs and prepare patients for examinations, procedures, and diagnostic tests such as MRI and CAT scans.
- Provide patients with clear information regarding treatments, medications, and post-procedure care, ensuring understanding and adherence.
- Work closely with healthcare providers to support efficient patient flow and overall office operations in a high-volume setting.
- Log medications, reconcile information with pharmacies, and update the computer system for imaging and other diagnostic requests.
- Complete return-to-gym and sports notes, enter related scripts into the EMR, and contact facilities for STAT requests when needed.
- Prepare patient charts ahead of scheduled appointments, identify missing forms, and coordinate printing and completion prior to visits.
- Support the call center when needed by handling incoming calls, scheduling and rescheduling appointments, and assisting patients with inquiries.
- Use the fax system to send, receive, and route documents between offices, ensuring all relevant files are added promptly to patient records.
- Schedule follow-up appointments face to face with patients as they leave their visits, confirming details and providing any necessary instructions.
- Verify patient insurance coverage, collect copayments, and assist with front-desk financial processes in a professional and courteous manner.
- Process insurance claims, create invoices, and help manage patient billing-related tasks with accuracy and attention to detail.
- Maintain strict confidentiality of patient information while ensuring records are complete, accurate, and up to date.
- Interact with patients primarily in person, providing friendly, professional service and addressing questions or concerns during their visit.
- Adapt to rotating providers and varying patient volumes, typically supporting 2040 patients per day, with an average of approximately one patient every 15 minutes.
- Remain on-site until the last patient has been seen and checked out, even when this extends beyond the scheduled shift end time.
Essential Skills
- Hands-on medical assistant experience in a high-volume medical office, preferably within an orthopedic setting.
- Proficiency with electronic medical records (EMR), specifically experience using ModMed or a similar system.
- Ability to take and record vital signs accurately and prepare patients for exams and procedures.
- Experience with medical assisting tasks such as documenting patient histories, logging medications, and supporting clinical workflows.
- Strong skills in insurance verification and understanding of patient coverage and copayment processes.
- Appointment scheduling experience, including handling face-to-face, phone-based, and rescheduling requests.
- Administrative support experience, including managing charts, faxing documents, and maintaining organized patient records.
- Ability to manage a fast-paced workload and support 2040 patients per day depending on provider schedules.
- Strong communication and interpersonal skills for frequent face-to-face patient interaction.
- Reliability and flexibility to stay until the last patient leaves, regardless of scheduled shift end.
Additional Skills & Qualifications
- Formal Medical Assistant certification is preferred but not required, and candidates with expired or outdated certifications are welcome.
- Prior experience in an orthopedic practice or similar specialty is a plus.
- Comfort working across multiple office locations and adapting to different provider preferences and workflows.
- Ability to work collaboratively in a large, multi-site team while maintaining a small-group, supportive feel.
- Attention to detail and strong organizational skills to prepare charts, manage documentation, and support billing processes.
- Positive attitude and willingness to learn from providers who are eager to teach and mentor clinical staff.
- Capability to handle both clinical and administrative responsibilities with professionalism and efficiency.
Work Environment
This role is based in a multi-site orthopedic practice with six local offices in New Jersey, including Randolph, Sparta, Hackettstown, Morristown, and Cedar Knolls. The Medical Assistant will cover all sites, following a routine schedule while remaining open to working at any location as needed. The position is full-time, with an expected 40 hours per week. Typical shifts are Monday through Friday, either 8:00 a.m. to 4:00 p.m. or 9:00 a.m. to 5:00 p.m., with one routine evening shift per week from 12:00 p.m. to 8:00 p.m., scheduled in advance. Schedules are released weekly on Wednesdays. The role also includes working approximately one weekend per quarter based on staffing needs. Consultants are expected to remain on-site until the last patient has been seen and checked out, even if this extends beyond the official shift end time. The environment is high-volume and patient-focused, with 2040 patients seen per day depending on provider rotation, and the majority of interactions occurring face to face rather than by phone or email. The practice offers a collaborative culture where providers are friendly and eager to teach, and the team benefits from a strong sense of camaraderie, bonding activities, and an annual party. Permanent employees enjoy perks such as a 401(k) match and generous paid time off packages, and the broader organization includes more than 80 employees across all offices, supporting a wide range of skill sets and career growth opportunities.
