About this role
Description
Are you a quick-thinking, highly organized professional who thrives on enabling leaders to do their best work? Amazon Talent Solutions — the organization at the heart of how Amazon finds, attracts, and hires talent at global scale — is looking for an experienced Executive Assistant to partner with a Vice President and serve as a critical extension of their office.
You will work closely with the VP and a leadership team spanning Talent Solutions operations, Quality of Hire, and Integrated Talent Development Systems (ITDS), including science and technology teams building the platforms that power Amazon's hiring.
In this role, you will do far more than manage logistics: you will shape how the VP spends their time, drive operational rigor across a global organization, and act as a trusted liaison between executives, cross-functional partners, and stakeholders throughout People eXperience and Technology (PXT) and the wider company. If you are energized by solving complex problems, building scalable processes, and making a measurable impact on organizational effectiveness, this is the role for you.
Key job responsibilities
- Manage a complex, global executive calendar across multiple time zones, proactively optimizing the VP's schedule and resolving conflicts with sound judgment to keep time aligned with the organization's highest priorities.
- Coordinate high-visibility meetings — leadership reviews, org-wide All-Hands, deep dives, and team events — preparing briefing documents, assembling pre-read materials, and driving follow-up on action items through to completion.
- Plan and execute large-scale events such as leadership offsites and cross-site visits, owning end-to-end logistics, agendas, and stakeholder communications.
- Identify and implement scalable processes and best practices that improve organizational effectiveness, partnering with Business Operations and Chiefs of Staff to align operational cadences and the rhythm of business.
- Mentor and develop Executive Assistants within the organization, lead hiring and headcount strategy for administrative roles, and help define the administrative support structure across the team.
A day in the life
Your morning might start by reviewing the VP's upcoming week and reprioritizing meetings as business needs shift. By midday you could be coordinating a cross-organizational leadership offsite, drafting communications on behalf of the VP, or partnering with peer Executive Assistants across PXT to align on a quarterly business review cadence. You will regularly use generative AI tools to streamline routine tasks and improve the quality of written materials. Throughout it all, you will handle sensitive information — including organizational changes, headcount planning, and leadership decisions — with discretion, and keep the broader team running smoothly.
