Job Responsibilities

- Sales Order Processing - Create and process sales orders in SAP within 24 hours of receiving Purchase Orders (POs) or Purchase Requisitions (PRs), ensuring complete accuracy and no discrepancies.

- Order Acknowledgement - Issue order acknowledgements to customers within 24 hours, confirming receipt of orders, tentative delivery schedules, and obtaining necessary commercial approvals from the sales team.

- Proforma Invoice Management- Prepare and release proforma invoices promptly to facilitate advance payments and ensure timely dispatch of materials upon customer confirmation.

- Documentation Compliance- Manage end-to-end documentation for inbound and outbound material movement, including invoices, STOs, credit/debit notes, e-way bills, delivery challans, and other statutory requirements.

- Cross-Functional Coordination - Liaise with customers, sales, finance, warehouse, and logistics partners to ensure smooth order execution and on-time dispatch of materials.

Long Description

- Sales MIS Reporting- Generate and maintain daily, weekly, and monthly sales-related MIS reports to support business monitoring and decision-making.

- SAP Transaction Accuracy - Ensure all outbound transactions are processed through SAP with zero documentation errors and maintain systematic records of all sales and dispatch documents.

- Dispatch Planning - Prepare and monitor daily trading dispatch plans to ensure efficient material movement and adherence to delivery commitments.

- Open Order Monitoring- Track open sales orders and share weekly material availability status updates with the sales team to support customer commitment and delivery planning.

- Customer Service & Follow-up - Proactively follow up on pending orders, payment status, dispatch schedules, and customer requirements to ensure high service levels and order fulfillment.

- Data & Record Management - Maintain accurate order, dispatch, and customer records while ensuring compliance with company policies and audit requirements.

Job Requirements

- 2 - 3 years of experience in order management and supply chain/logistics in manufacturing or industrial sector.

- Any Degree or related field.

- Strong communication and interpersonal skills.

- Proficiency in MS Office and ERP systems like SAP – SD Module.

- Multilingual proficiency: Fluency in English, Hindi, and Tamil.

- Attention to detail and ability to manage multiple priorities.
