Overall Purpose
ADS is seeking a Project Accounting & Finance Professional for a full-time role within the Finance organization. The role supports an assigned portfolio of service and equipment projects, with primary responsibility for project setup, approved modifications, and contract-to-system reconciliation. Additional responsibilities include project accounting, billing readiness, operational reporting, forecasting, and commercial support.
The analyst works under the direction of the FP&A Manager. Routine assignments are managed independently after training; complex revenue recognition, accounting judgments, and forecast assumptions receive manager review. The role supports Billing and Collections rather than owning invoice issuance or collection activity. Contract acceptance, pricing approvals, and policy exceptions remain with authorized managers.
Job Responsibilities
Primary focus: contract and project setup
- Support the duly executed contract process by verifying required approvals and documentation before processing project setup and approved modifications in Deltek Costpoint ERP.
- Reconcile contract values, project details, funding, and approved modifications between Microsoft Dynamics CRM and Deltek Costpoint ERP; investigate and resolve discrepancies with the appropriate teams.
- Review project set up against approved billing terms and established revenue recognition policies; escalate exceptions for review.
Project accounting and project-to-cash support
- Validate labor, materials, subcontractor costs, and cost allocations for assigned projects; resolve routine accounting questions and coordinate consistent practices with regional business analysts.
- Support billing readiness by confirming purchase orders, approved rates, milestones, contract terms, and required supporting documentation with Billing and project managers.
- Review aged unbilled balances and billing discrepancies; coordinate resolution with Billing, Collections, and project managers.
- Track approved and pending change orders; flag work performed outside approved scope or funding without treating pending changes as authorized.
- Support project closeout by reconciling remaining costs, revenue, billing, and outstanding commitments and escalating unresolved items.
Month-end close and reporting support
- Prepare assigned revenue recognition schedules, journal entries, accruals, deferrals, cost adjustments, and reclassifications under established accounting policies and manager review procedures.
- Reconcile assigned project-related accounts and project margins; investigate differences and explain significant revenue and cost variances.
- Prepare assigned schedules and concise commentary for monthly reporting, flash results, and business reviews; support regional consolidation and corporate FP&A submissions for manager review.
Operational analysis and forecasting support
- Maintain weekly and monthly project dashboards and health scorecards covering backlog, budget consumption, margins, utilization, productivity, and bookings quality; investigate unusual trends and respond to routine project financial questions.
- Identify project margin risks and track corrective actions agreed with Operations and project managers.
- Update assigned weekly and monthly forecast schedules for revenue, labor, cost to complete, and cash flow; coordinate project manager inputs and flag variances against the annual operating plan for manager review.
- Maintain backlog burn-out schedules and equipment/service order assumptions; support regional forecast consolidation and resource-planning analysis using approved assumptions.
Commercial analysis and controls support
- Prepare quote pricing and margin calculations using approved labor, equipment, subcontractor, and service-cost assumptions; escalate commercial exceptions to authorized approvers.
- Maintain assigned approval and reconciliation evidence for SOX controls, check overhead allocations against established methods, and escalate documentation gaps or unusual cost drivers.
Required Qualifications
- Foundational knowledge of accounting, reconciliations, and financial analysis demonstrated through education, internships, or relevant work experience.
- Working knowledge of Microsoft Excel, including formulas, data checks, and basic financial schedules.
- Attention to detail, analytical problem-solving skills, and the ability to organize recurring tasks and meet deadlines.
- Clear communication skills and the ability to collaborate across Finance, Contracts, Billing, Operations, and project teams.
Preferred Qualifications
- Bachelor’s degree in accounting, finance, business, economics, or a related field.
- Experience in project accounting, operational finance, project controls, or a service-oriented, project-based business; relevant internships.
- Familiarity with Deltek Costpoint, Microsoft Dynamics CRM, or comparable business systems.
- Exposure to project billing, revenue recognition, month-end close, forecasting, or internal controls.
