Requirements

The Cliffs Notes

As the Executive Operations Coordinator at Kinective, you’ll be a key member of the Executive Support team, partnering closely with the Manager of Executive Support to help the Executive Leadership Team operate effectively. The role combines high-touch executive support with ownership of defined operational work and cross-functional projects. You’ll manage responsibilities such as event planning, expense platform administration, AI-enabled workflows, and project coordination—expanding your ownership as you build context and demonstrate success.

You’re the type of person who gets equal satisfaction from nailing a 10-person logistics puzzle as you do from standing up a new process. You bring calm, discretion, and precision to a fast-moving, high-stakes environment — and you’re energized, not overwhelmed, by complexity.

If you thrive in a role where no two days look the same and where your contributions visibly move the needle for senior leadership, this role is for you.

What you’ll own :

Executive & Calendar Support

- Manage complex, high-volume calendar coordination for members of the Executive Leadership Team — we’re talking 50+ scheduling moves a day where changing one meeting sets off a chain reaction
- Arrange domestic and international travel including flights, hotels, ground transportation, and detailed itineraries
- Prepare executive briefings, agendas, meeting materials, and follow-up action items
- Serve as a trusted proxy for sensitive communications and confidential information

Events & Offsites

- Own end-to-end coordination of company events including leadership offsites, Board meetings, customer advisory boards, and company-wide summits — from venue sourcing and contracting to on-site execution
- Manage vendor relationships, AV, catering, rooming blocks, registration, and budget tracking
- Support logistics for external industry events and partner dinners

Project & Process Ownership

- Take ownership of defined functional areas over time (e.g., expense platform administration, AI tool development, event coordination) — training with the Manager of Executive Support and progressively owning these independently
- Build and maintain SOPs, playbooks, and operating documentation so institutional knowledge is accessible and scalable
- Drive cross-functional coordination on assigned programs, keeping stakeholders aligned and projects on track

Expense & Financial Administration

- Administer and support the Ramp T&E platform, including policy enforcement, user support, and reporting
- Process and reconcile expense reports; assist with budget tracking for events and executive spend

AI & Technology

- Actively use and help develop AI tools and workflows to improve efficiency across executive operations
- Identify automation opportunities and assist in building out Glean skills, agents, or other tools that reduce manual work

What You're Great At :

- Managing a near-impossible number of moving parts without dropping anything
- Reading a room (and a calendar) — you anticipate needs before they’re asked
- Communicating clearly and professionally with C-suite executives, Board members, and external partners
- Building processes that outlast your direct involvement
- Using AI tools confidently and creatively — you’re not afraid to experiment
- Handling confidential and sensitive information with absolute discretion
- Being a colla

Necessary Qualifications:

- 3+ years of experience in an executive support, project coordination, or operations role
- Demonstrated experience managing complex executive calendars across multiple time zones
- Experience coordinating corporate events or offsites (end-to-end ownership preferred)
- Proficiency with expense management tools (Ramp, Concur, or similar) and the Microsoft Office suite
- Familiarity with AI productivity tools and a genuine interest in how they can improve operations
- Exceptional written and verbal communication skills
- Ability to operate independently with strong judgment and minimal direction
