Job Summary

We’re seeking a Senior Executive Assistant to support our Senior Vice President and General Manager. This is more than a calendar-management role. You’ll be a trusted partner who anticipates needs, handles sensitive matters with discretion, and brings sound judgment to complex, fast-moving situations.

What You'll Do:

- Manage a senior executive’s calendar, meetings, travel arrangements, expenses, and day-to-day administrative priorities.

- Serve as a key point of contact for leaders and stakeholders inside and outside the organization, responding with professionalism and sound judgment.

- Prepare correspondence, reports, summaries, and responses to inquiries by gathering and organizing information from multiple sources.

- Review correspondence for executive approval, identifying potential conflicts, policy concerns, or items that need further attention.

- Assess incoming requests, determine appropriate next steps, and elevate urgent or important matters when needed.

- Coordinate reporting on items such as budget expenditures, performance measures, and other business priorities.

- Take ownership of complex assignments and special projects, developing practical solutions with limited direction.

- Recommend improvements to administrative processes and help maintain effective, consistent ways of working.

- Handle confidential information with care and support a collaborative, respectful team environment.

You will be successful if you:

- Stay a step ahead: You anticipate the executive’s needs, spot scheduling conflicts and emerging priorities, and address issues before they disrupt the day.

- Exercise sound judgment: You know what you can resolve independently, when to involve others, and when an urgent matter needs the executive’s attention.

- Bring clarity to complexity: You turn information from multiple sources into accurate, useful correspondence, reports, and briefings.

- Build trusted relationships: You communicate effectively with colleagues and senior leaders, treating every interaction with professionalism and discretion.

- Keep work moving: You manage competing deadlines, follow through on details, and adapt quickly when priorities change.

- Look for better ways to work: You identify practical improvements that make administrative processes more effective for the executive and their team.

What You Bring:

- 10 or more years of progressively responsible experience in office management or executive administrative support.

- An associate’s degree in a related field, or an equivalent combination of education and experience.

- Excellent written communication and interpersonal skills, including the ability to work effectively with people at all levels of an organization.

- Demonstrated discretion, independent judgment, and the ability to adapt to changing priorities.

- Expert proficiency with Microsoft Word, Excel, and PowerPoint.

- The ability to manage a high volume of work, meet deadlines, and work independently while remaining a strong team partner.
