About this role

We're looking for a Medical Billing Specialist (Psychiatric RCM) to own the full revenue cycle for a busy psychiatric and mental health practice. You will manage all aspects of internal billing operations including claims creation and submission, payment posting, denial management, accounts receivable, patient collections, and patient financial inquiries. You will also serve as the primary liaison between the practice and its external billing partners.

This is a full-cycle role. You are not handling one piece of the billing workflow — you are owning the entire RCM process from claim to collection and serving as the primary point of contact for patient billing questions. eClinicalWorks (eCW) experience and recent psychiatric billing experience are hard requirements. If you have 2 or more years of full-cycle psychiatric or behavioral health billing experience, are proficient in eCW, have worked with Medicare, and are HIPAA certified, this role is a strong fit.

Why You'll Want to Join

- You will be paid in USD (bi-monthly: every 15th and 30th)
- Paid Time Off in accordance with company policy
- Observance of Holidays per company guidelines
- 100% remote setup so you can work wherever you're most productive
- This role requires availability during US business hours
- Work inside a growing psychiatric and mental health practice with a dedicated and patient-focused team
- High-ownership billing role with direct accountability for revenue cycle performance and patient financial experience

What You'll Work On

Revenue Cycle Management

- Own all internal billing and collection activities for the practice end to end
- Review claims for accuracy and identify billing issues prior to submission
- Submit claims, manage claim rejections and denials, and file corrected claims and appeals as needed
- Investigate and resolve underpayments and payer discrepancies
- Review and work accounts receivable aging reports to ensure timely reimbursement
- Serve as the primary liaison between the practice and external billing vendors

Patient Billing and Collections

- Manage patient balances and collection activities in accordance with practice policies
- Contact patients regarding outstanding balances and establish payment arrangements when appropriate
- Process patient payments and maintain accurate account balances
- Reconcile payment discrepancies and research billing concerns
- Maintain accurate financial documentation and patient account records

Patient Financial Services and Phone Support

- Serve as the primary contact for the practice's billing phone line
- Answer patient questions regarding deductibles, copayments, coinsurance, eligibility, benefits, outstanding balances, payment plans, and billing statements
- Provide patients with copies of billing statements, itemized receipts, and payment histories upon request
- Explain billing information clearly, professionally, and compassionately to patients and families
- Resolve patient billing concerns promptly and escalate complex issues when necessary

Reporting and Performance Monitoring

- Monitor and report on key revenue cycle metrics to management including days in AR, AR aging, clean claim rate, claim submission lag, payment posting timeliness, and patient collection performance
- Prepare accurate billing reports using Excel and other reporting tools
- Flag performance trends and issues to the practice manager proactively

Compliance

- Maintain full compliance with HIPAA requirements, payer guidelines, and all applicable federal and state regulations
- Ensure billing documentation supports medical necessity and payer requirements
- Collaborate with administrative staff and leadership to resolve billing-related concerns and improve operational processes

What You Bring

- At least 2 to 3 years of proven full-cycle medical billing and revenue cycle experience with recent psychiatric or behavioral health billing experience strongly preferred — this is a hard requirement
- Proficiency in eClinicalWorks (eCW) with recent hands-on experience preferred — eCW proficiency is a hard requirement
- Proven experience with Medicare billing — this is a hard requirement
- HIPAA certified with a strong working knowledge of HIPAA compliance requirements — this is a hard requirement
- Comprehensive knowledge of the full medical billing lifecycle including claims management, payment posting, denials, collections, and accounts receivable
- Experience with commercial insurance plans, Medicaid, and managed care organizations in addition to Medicare
- Strong knowledge of CPT coding, ICD-10 coding, insurance terminology, and payer guidelines in a psychiatric practice setting
- Excellent phone etiquette and patient communication skills with the ability to discuss financial matters professionally and compassionately
- Strong reporting skills with proficiency in Excel and other reporting tools
- Highly organized, accurate, and able to manage multiple priorities independently in a fast-paced environment
- No prior commitments that would conflict with full-time employment and a reliable technical setup for remote work

Nice to Have

- Experience working with managed care organizations and behavioral health payers specifically
- Background in a psychiatric private practice or mental health group practice setting
- Experience managing external billing vendor relationships
