Summary of Position

The Imaging Specialist position provides critical quality control and support function to the histology laboratory and pathologists. The Imaging Specialist matches completed slides to the correct case in the Laboratory Information System (LIS), verifies that all required slides are present and accurately labeled, and combines each case with the appropriate paperwork so that complete, accurate cases are ready for pathologist review. The Imaging Specialist will utilize a working knowledge of histology laboratory workflow and the LIS to proficiently perform assigned tasks under low to moderate supervision.

Key Job Elements

- Identify and promptly flag any discrepancy, missing slide, mislabeled slide, or case summary mismatch to the appropriate technician or the Histology Supervisor/Manager, and hold the case until the issue is resolved. Slides and paperwork are flagged only, never altered or relabeled

- Sort cases by case type and report type to support laboratory workflow and efficient routing to pathologists

- Update case status and location in the LIS to reflect assembly progress, and route completed cases to the pathologists/PAs or the designated area for imaging and review

- Using appropriate technology, check slides to blocks as needed and assist with filing and retrieval of blocks and slides

- Maintain the work area, ensuring that it is clean, organized, and stocked with supplies

- Protect patient confidentiality and handle all patient information in accordance with HIPAA and company policy

- Consistency in attendance and punctuality

- Maintain a professional attitude and appearance

- Assists as needed to perform other related duties and special projects as required

- Accepts other duties as assigned

Case Assembly Quality Control Steps

The following QC steps are performed for every case prior to release:

- Confirm in the LIS that the case is ready for assembly and gather all slides for the case, including any levels, special stains, immunohistochemistry (IHC), or other add-on orders.

- Verify patient identifiers (e.g., patient name and accession/case number) on every slide label match the case in the LIS.

- Verify that the part/block designation on each slide matches the LIS and, when applicable, the corresponding block.

- Verify that the number and type of slides (H&E, levels, special stains, IHC) match the orders in the LIS, and that no ordered slides are missing or extra.

- Inspect each slide label for legibility and accuracy, and inspect slides for defects (e.g., broken or cracked slides, missing coverslips, missing or misplaced tissue). Flag any slide that does not meet standards to the technician for correction.

- Pull the case summary for the case and verify that the patient identifiers on the case summary match both the slides and the LIS.

- Combine the verified slides and case summary together in the appropriate case folder/tray, ensuring that slides and case summaries from different cases are never combined or mixed.

- Perform a final check of the assembled case (slides, case summary, and LIS) to confirm that the case is complete and accurate.

- If any discrepancy is found, do not release the case. Hold it and flag it to the appropriate technician or the Histology Supervisor/Manager, and document the issue according to laboratory procedure. Do not alter, relabel, or correct slides or paperwork; discrepancies are flagged only.

- Sort the assembled case by case type and report type, update the case status/location in the LIS, and route the completed case to the appropriate pathologist, PA, or designated area.
