About this role

Job Title: Shared Services HR Specialist Job Description
The Shared Services HR Specialist is a detail-oriented HR operations role focused on high-volume, highly accurate data entry and employee lifecycle processing within a shared services environment. Working under limited supervision, you handle large volumes of HR transactions in systems such as SuccessFactors Employee Central, SAP, and ServiceNow, ensuring that employee records are precise, complete, and compliant throughout the entire employee lifecycle. This position is ideal for someone with a strong foundation in HR who enjoys structured, transactional work and takes pride in maintaining data integrity and meeting service level expectations.
Responsibilities
- Process high-volume employee lifecycle transactions in HR systems including SuccessFactors Employee Central and SAP, covering hires, rehires, transfers, promotions, compensation changes, organizational changes, and terminations.
- Manage 3040 ServiceNow HR cases per day by reviewing documentation, determining appropriate actions, and driving timely and accurate case resolution.
- Perform pre- and post-entry validation of employee master data, organizational assignments, compensation details, and effective dates to ensure accuracy and completeness.
- Conduct post-transaction quality checks, reconcile data across multiple HR systems, and proactively identify and correct discrepancies or errors.
- Maintain audit-ready documentation for all HR transactions and ensure adherence to service level agreements, compliance requirements, and internal policies.
- Support periodic audits and compliance reviews by providing accurate records, reports, and documentation related to HR transactions and data integrity.
- Partner with HR Services, Payroll, Benefits, Talent Acquisition, managers, and HR Centers of Excellence to ensure seamless HR operations and consistent employee data.
- Validate I-9 documentation and other employment eligibility records with a high level of attention to detail and compliance awareness.
- Process employee transfers, organizational changes, pay changes, and other lifecycle events, ensuring all related data is updated correctly and consistently.
- Contribute to process standardization and continuous improvement initiatives by following best practices, providing feedback, and participating in operational audits.
- Participate in and support training activities, including training lower-level staff on processes, systems, and quality standards as needed.
- Uphold all company policies, safety standards, and regulatory requirements while maintaining strict confidentiality of sensitive employee information.
- Focus on transactional productivity and quality, understanding that this role is primarily data entry and will remain centered on HR data processing rather than evolving into recruiting or benefits analysis responsibilities.
Essential Skills
- High school diploma or equivalent, typically combined with 4+ years of progressive HR administration experience.
- At least 2+ years of experience in HR Operations, Shared Services, HRIS, or Payroll Support with high-volume data entry responsibilities.
- Minimum 2+ years of hands-on experience working with HR systems such as SuccessFactors Employee Central, SAP, ServiceNow, or similar platforms.
- Strong foundation in HR concepts and employee lifecycle processes, including hires, terminations, promotions, pay changes, and transfers.
- Demonstrated ability to perform pure data entry work with a focus on accuracy, consistency, and productivity in a high-volume environment.
- Exceptional attention to detail and accuracy, including the ability to validate I-9s and other sensitive employment documentation.
- Intermediate to advanced Microsoft Excel skills, including proficiency with Pivot Tables, VLOOKUP, and XLOOKUP, as well as overall Microsoft Office proficiency.
- Strong written and verbal communication skills, with the ability to explain moderately complex information clearly to stakeholders.
- Proven ability to maintain confidentiality and effectively manage sensitive employee data and HR records.
- Strong organizational, analytical, and problem-solving skills, with the ability to prioritize work and manage multiple tasks in a fast-paced environment.
- Ability to work both independently with minimal supervision and collaboratively within a team-based shared services setting.
Additional Skills & Qualifications
- No college degree required; candidates with a solid HR foundation and practical experience in HR administration and data entry are encouraged to apply.
- Experience working with SuccessFactors Employee Central, SAP, and ServiceNow specifically is highly beneficial.
- Comfort with very repetitive, detail-heavy work and the ability to remain focused while performing data entry tasks day in and day out.
- Understanding of HR compliance requirements and audit practices related to employee records and documentation.
- Ability to meet and exceed key performance indicators such as transaction accuracy rate, ServiceNow case volume, SLA compliance, productivity metrics, audit and quality scores, data integrity, and customer service effectiveness.
- Interest in contributing to continuous improvement and process standardization within a shared services HR environment.
- Experience collaborating with cross-functional HR and business partners, including Payroll, Benefits, Talent Acquisition, and HR Services.
Work Environment
This is a full-time, hourly position based fully onsite in a shared services HR environment. The role follows a 9/80 schedule, working nine hours per day Monday through Thursday, with every other Friday off; Fridays that are worked are eight-hour days. The work is highly transactional and detail-focused, with approximately 85% of time spent on data entry, auditing, and maintaining employee records in systems such as SuccessFactors Employee Central, SAP, and ServiceNow. You work in a structured, fast-paced, high-volume environment where accuracy, consistency, and adherence to policies and service levels are critical. The culture emphasizes growth and stability, offering the opportunity to build a strong HR operations background and gain experience with enterprise HR technologies, while being transparent that this role is focused on data entry rather than moving into recruiting or benefits analyst responsibilities.
