About this role
Company Description
Here at EVSE we put our people first. Our talented, dedicated and passionate workforce strive to keep EVSE at the forefront of EV charging since our inception in 2015. Embracing a vision for a sustainable future, we are dedicated to delivering the latest EV charging technology for every household, business and commercial need.
Job Description
We’re looking for a Tender Coordinator to own our tender process from release to submission. In this role you’ll turn complex tender documentation into clear, winning submissions that show how EVSE’s EV charging solutions deliver for our customers.
You’ll sit at the point where technical, commercial and sales teams meet. You’ll understand the electrical infrastructure behind what we deliver, and you’ll be able to explain it persuasively in writing. You’ll bring structure and urgency to every bid. You’ll make sure the right people are working on the right sections at the right time, and that every submission goes out on time, compliant and to a high standard.
Key responsibilities
- Review tender documentation (RFTs, RFQs, EOIs, specifications and schedules) and break the requirements down into a clear summary covering what’s needed, by whom, and by when.
- Build and manage a submission plan for each tender, assign tasks to the relevant departments (engineering, operations, finance, legal, sales) and track progress against internal deadlines.
- Write, edit and tailor submission content so that technical solutions become clear, compelling responses aligned to the evaluation criteria.
- Run compliance checks to make sure every mandatory requirement, returnable schedule and formatting rule is met before lodgement.
- Coordinate clarification questions with the buyer and manage addenda as they’re released.
- Produce professional, on-brand submission documents, graphics and supporting material in Word, PowerPoint and Canva.
- Maintain a structured SharePoint library of reusable content, including capability statements, case studies, CVs, methodologies, policies and certifications.
- Run go/no-go and post-submission debriefs, and capture lessons learned to improve win rates.
- Monitor tender portals and track upcoming opportunities with the sales team.
Qualifications
You’re technically minded, detail-oriented and bring a genuine sense of urgency to your work. You’re comfortable taking ownership of the process, keeping others on track and making sure deadlines don’t slip. You take pride in producing high-quality work and understand the importance of every submission representing the business well.
Essential
- Proven experience coordinating and delivering tender or bid submissions, ideally in electrical, construction, infrastructure, energy or a related technical sector
- Ability to read large, complex documents quickly and turn requirements into clear, actionable tasks
- A solid working understanding of electrical infrastructure (for example, site power supply, switchboards, cabling and installation scope) and the confidence to discuss it with engineers and translate it for evaluators
- Excellent written communication, with the ability to write persuasive, client-focused content rather than just technical description
- Advanced proficiency in: SharePoint : document libraries, version control, permissions and collaborative editing
- Microsoft Word : styles, templates, tables of contents, tracked changes and long-document formatting
- PowerPoint and Canva : editing, annotating and producing polished visuals, diagrams and presentation material
- Strong organisational skills, with a demonstrated ability to manage several concurrent submissions under tight deadlines
- Confidence to coordinate across departments, chase inputs and hold contributors accountable to timeframes
Desirable
- Tertiary qualification in business, communications, engineering, construction management or a related field, or equivalent industry experience
- Experience with government, council or utility procurement and their tender portals
- Familiarity with EV charging hardware, software platforms or the Australian EV market
- Exposure to relevant standards and compliance areas such as AS/NZS 3000, WHS and quality management systems (ISO 9001)
- Experience building or managing a bid content library
