About this role
Part-Time Position
POSITION SUMMARY
The Clinical Research Core at the Buck Institute is looking for an organized, detail-oriented, and dependable Clinical Sample & Data Coordinator to join our team. You will keep the day-to-day behind-the-scenes work of our clinical studies running smoothly: rebooking participant visits, getting lab results to our medical officers and back to participants, checking the quality of study data, keeping consent documents in order, and making sure the tubes, labels, and supplies are ready for every visit. This is an entry-level position. No previous clinical research experience is required, but experience in an administrative, health care, laboratory or research setting is helpful. The successful candidate will work alongside the study Investigator, Dr Brianna Stubbs, PhD, the study Nurses, the study Medical Officers, and other clinical research staff.
The Buck team is small, and candidates should expect to get exposure to how clinical studies run from start to finish; we all work together to make sure that no balls are dropped, and all the work gets done. It will be a rewarding experience for a motivated person who is able to keep track of many moving pieces, can work independently, and asks for help when needed. It is a great starting point for anyone who wants to build a career in clinical research.
KEY RESPONSIBILITIES
- Rebook and confirm participant study visits, coordinating between participants, study nurses, and the clinical team. Keep visit schedules up to date and send reminders.
- Send Labcorp results to the study Medical Officers for review. Track each result and follow up promptly if no reply is received, escalating to the study team when needed so that no result is left unreviewed.
- Prepare and send redacted lab reports and study data to participants, checking that each document is accurate, correctly redacted and sent to the right person.
- Carry out regular quality control (QC) checks of study data in REDCap. Identify missing, inconsistent or out-of-range entries, resolve queries with the study team and document corrections.
- File and organize signed consent forms and other participant documents (paper and electronic), checking for completeness (correct version, signatures and dates) and flagging any issues.
- Prepare and label sample collection tubes and kits ahead of study visits, following study protocols and SOPs. Check that labels match the participant ID and visit and keep accurate sample and supply logs.
- Help manage supplies and inventory: monitor stock levels, place orders, receive and put away deliveries, and make sure supplies are ready for upcoming visits.
- Communicate regularly with the study team about scheduling, data and supply issues, and raise problems early.
- Maintain confidentiality of all participant records, including written and verbal communications.

- Professional demeanor and clear, warm written and verbal communication with participants, medical officers, and co-workers.
- Good judgment and discretion when handling confidential health information.
- Well-organized, able to manage several tasks and deadlines at once.
