We are a culture that obsesses over impact, challenges, and drives what’s next to power infinite possibilities for our customers, colleagues and society at large.
About the Role:
As the Office Manager and Executive Assistant, you will support the Assessments Leadership Team by keeping them organized and helping our Minneapolis office run smoothly. You will be responsible for managing calendars, travel, and meetings for the leadership team, and you will own everyday office operations, from supplies and catering to compliance postings and facilities issues. You'll anticipate needs before anyone has to ask, and you'll become the person leaders and colleagues can rely on.
Job Responsibilities:
· Manage calendars, scheduling, and meeting preparation for members of the Assessments Leadership Team, and protect their time by anticipating conflicts and prioritizing requests.
· Book and coordinate domestic and international travel, and prepare expense reports for leadership team members.
· Plan and run logistics for key meetings and events, including catering, room setup, and materials, for in-person and hybrid attendees.
· Run the Minneapolis office day to day: order and stock supplies, snacks, and equipment, and keep shared spaces tidy and welcoming.
· Be the point person for facilities issues such as maintenance, building access, and equipment, and raise larger matters, such as office moves, with our operations team and Wiley Facilities.
· Make sure required compliance posters and safety notices are current and properly posted.
· Serve as a trusted point of contact for the leadership team with colleagues, partners, and customers, and coordinate with executive assistants across Wiley, handling confidential information with discretion.
· Welcome visitors and new hires on site, and support employee experience and culture activities in the office.
Required Qualifications:
· Bachelor's degree, or equivalent professional experience.
· At least five years of experience as an executive assistant, office manager, or in a similar administrative role.
· Experience supporting multiple senior leaders at the same time.
· Experience managing office operations, vendors, and events.
· Proficiency with Microsoft Outlook, Word, Excel, and PowerPoint.
· Comfort with calendar, travel, and expense tools.
· Working knowledge of office compliance requirements, such as required postings.
· Strong written and verbal communication, with sound judgment and discretion with confidential information.
· A warm, service-minded approach with colleagues at every level.
· Ability to coordinate vendors and colleagues on tasks without direct authority.
· Ability to anticipate needs and solve problems with minimal guidance, and to shift quickly when plans change.
· Ability to work in our Minneapolis office at least 3 days per week.
· Flexibility to occasionally support early or late hours for key meetings and events.
· Ability to lift up to about 25 pounds when setting up for meetings and events.
Preferred Qualifications:
· Experience in a corporate or multi-site company environment.
· Experience supporting a leadership team in a learning and development, HR, or software business.
· Experience negotiating with and managing vendors such as caterers and suppliers.
· Experience with procurement and expense systems.
· A track record of improving processes for leaders or for an office.
