- Apply approved assignment and relocation policies consistently, documenting eligibility, approvals, compensation/allowance components, exceptions, and case status.
- Prepare assignment timelines, stakeholder checklists, cost estimates, and decision summaries; track travel, start/end dates, extensions, and repatriations.
- Support the design and continuous improvement of U3 mobility processes, templates, service levels and employee guidance with Corporate HR and Total Rewards.
- Maintain accurate confidential mobility records and an auditable case management tracker, applying appropriate data minimization and access controls.
Immigration, Tax and Payroll Coordination
- Coordinate work authorization, visa, and immigration case documentation with approved licensed U.S., Mexican, and Asian immigration counsel and internal sponsors.
- Track filing prerequisites, employee documentation, travel restrictions, expiration dates, renewals and dependent-related milestones; escalate risk promptly.
- Partner with Payroll, Finance, Total Rewards and external tax advisers on assignment payroll setup, shadow payroll where applicable, compensation delivery, tax briefing and reporting handoffs.
- Coordinate cross-border business-travel and assignment reviews before work begins; refer legal conclusions and tax advice to licensed or appropriately qualified advisers.
- Avoid representing anticipated visa approvals, tax outcomes or immigration eligibility as guarantees.
Relocation and Assignee Experience
- Act as a trusted point of contact for transferring employees and eligible family members from pre-departure through arrival, settling-in and return/transition.
- Coordinate approved temporary housing, destination orientation, household goods, transportation, school-search referrals and other authorized relocation services.
- Provide clear, culturally sensitive explanations of approved benefits, local processes, contacts and support escalation paths; facilitate language-access support when needed.
- Coordinate day-one readiness with HR Operations, GA, IT and site management so relocated employees receive the right onboarding and practical site support.
- Resolve routine service disruptions directly and escalate policy, welfare, vendor, legal or compliance issues with appropriate urgency.
Vendor Governance, Analytics and Program Improvement
- Serve as the operational owner for approved immigration, relocation, household-goods, destination, temporary-housing and mobility-service providers.
- Monitor vendor deliverables, employee satisfaction, case cycle time, spend versus estimates, documentation quality and recurring issues.
- Reconcile invoices and assignment expenses against approved policies and budgets with Finance and Procurement.
- Identify scalable approaches for U3 growth, including employee self-service materials, standard operating procedures, dashboards and service-provider reviews.
Knowledge and Experience
- Five or more years of progressive experience in global mobility, international assignments, corporate relocation, immigration program coordination or related HR operations.
- Demonstrated experience supporting cross-border employee moves and coordinating with immigration counsel, tax/payroll experts and relocation vendors.
- Working knowledge of assignment policies, allowances, household-goods/destination services, employee experience and mobility cost controls.
- Ability to handle sensitive employee/family situations, complex timelines and confidential data with discretion and empathy.
- Strong project management, vendor coordination, service recovery, reporting and written communication skills.
- Fluent professional English; professional Spanish strongly preferred for U.S.–Mexico mobility. Experience supporting Asia-based stakeholders is a plus.
- Bachelor’s degree in HR, Business, International Relations or related field preferred; equivalent relevant experience considered.
- WERC GMS/GMS-T or comparable mobility credential, or experience with mobility case-management tools, is preferred.
Measures of Success
- Assignments/relocations mobilized on schedule with required approvals and counsel-led work authorization milestones completed.
- Employee and family service feedback, case resolution timeliness and quality of cross-functional handoffs.
- Mobility case-data completeness, vendor service performance and actual costs versus approved estimates.
Authority and Key Relationships
- Coordinate approved assignments and relocation services, manage individual cases, and hold service providers accountable to agreed deliverables.
- Recommend policy/process improvements, service partners, cost alternatives and case exceptions for appropriate approvals.
- May not independently provide legal or tax advice, authorize a visa classification, approve immigration sponsorship, modify compensation or sign material vendor commitments outside delegated authority.
