You will own interview scheduling and logistics, maintain accurate recruiting data, support campus and hiring events, and serve as a reliable point of contact throughout the candidate journey. The ideal candidate is highly organized, detail-oriented, comfortable managing a high volume of activity, and committed to creating a thoughtful and consistent candidate experience.

This is a hybrid contract position reporting to the Manager of Talent Programs. The anticipated contract duration is 12 months, with the possibility of extension based on business needs. This position is open to candidates based in the San Francisco Bay Area, Bellevue, New York City, or New Jersey and includes support for onsite interviews and local early careers events.

Key Responsibilities:

- Own end-to-end scheduling and logistics for virtual and onsite interviews across intern, new graduate, apprenticeship, and other early-career roles.

- Partner closely with Early Careers Recruiters, candidates, interviewers, and hiring managers to coordinate availability, interview plans, preparation materials, and day-of execution.

- Serve as a primary point of contact for candidates, providing clear, timely communication about interview logistics, program timelines, next steps, and onsite expectations.

- Support high-volume interview days and ensure candidates and interview teams have the information and resources needed for a smooth experience.

- Assist with job postings and requisition setup in Greenhouse, ensuring candidate-facing information and internal recruiting details are accurate.

- Maintain accurate candidate, interview, requisition, and event data across Greenhouse, Gem, Candidate.FYI, Google Workspace, and related systems.

- Support campus and early careers recruiting activities, including career fairs, information sessions, technical talks, networking events, and interview days.

- Coordinate event logistics, attendee communications, candidate follow-up, lead tracking, and handoffs between Talent Programs and recruiting partners.

- Help coordinate offer and pre-onboarding activities by tracking required approvals, candidate communications, deadlines, and cross-functional handoffs.

- Partner with Talent Programs, Recruiting, Talent Operations, Employer Brand, People Operations, and Recruiting Coordination on process improvements and program initiatives.

- Document recurring workflows and identify opportunities to improve efficiency, data quality, candidate communication, and program delivery.

- Handle candidate and employee information with professionalism, discretion, and appropriate confidentiality.

Qualifications:

- 2+ years of experience in recruiting coordination, talent acquisition, program coordination, or a closely related function, ideally in a high-growth or fast-paced environment.

- Demonstrated experience coordinating a high volume of interviews across multiple teams, locations, or time zones.

- Strong organization, attention to detail, and dependable follow-through across multiple concurrent workflows.

- Excellent written and verbal communication skills with a thoughtful, candidate-first approach.

- Ability to build trust and work effectively with recruiters, hiring managers, interviewers, candidates, and cross-functional partners.

- Comfort operating through changing priorities, compressed timelines, and high-volume hiring periods.

- Experience using an applicant tracking system and scheduling or collaboration tools; Greenhouse, Candidate.FYI, Google Workspace, Zoom, and Slack experience is preferred.

- Comfort working with recruiting data, trackers, and reports while maintaining accuracy across systems.

- Ability to support onsite interviews and local early careers events as needed.

Preferred Skills:

- Experience supporting internship, university, new graduate, apprenticeship, or other early-career hiring.

- Experience coordinating campus events, career fairs, information sessions, conferences, or high-volume interview days.

- Familiarity with Gem, Confluence, Asana, or similar candidate relationship management, documentation, and project management tools.

- Experience supporting technical or highly specialized recruiting teams.

- Candidates receive timely, accurate, and consistent communication throughout the recruiting process.

- Virtual and onsite interviews run smoothly, with clear logistics and minimal scheduling disruption.

- Recruiters and hiring teams have reliable visibility into interview status, candidate progress, and next steps.

- Greenhouse, Gem, and supporting trackers remain accurate and up to date.
