About this role

We are seeking a warm, organized, and professional Bilingual Front Desk Receptionist to support our client's Facial Plastic Surgery and ENT (Otolaryngology) practice in Southern California. The ideal candidate has hands-on front-desk experience in a U.S. medical practice, communicates confidently in English and Spanish, and is comfortable managing a busy phone line, patient scheduling, insurance eligibility checks, and front-office administration with accuracy and excellent patient care. This is a dedicated, full-time placement: you will work directly with one practice as an extension of its front-office team.

Key Responsibilities:

• Answer inbound patient calls in English and Spanish, addressing questions about appointments, procedures, office policies, and general inquiries.

• Make outbound calls for appointment confirmations, reminders, rescheduling, and patient follow-ups.

• Schedule, reschedule, and cancel patient appointments for consultations, procedures, and follow-up visits, keeping the provider's calendar accurate and organized.

• Coordinate new patient consultations for both cosmetic and ENT services, ensuring patients have the information they need before their visit.

• Verify patient insurance eligibility and benefits for ENT visits and update coverage information in the system.

• Enter and update patient demographics, insurance details, and appointment information in Office Ally.

• Take accurate messages and route clinical questions to the provider or appropriate staff member.

• Manage voicemails, emails, and general front-office administrative tasks using Google Workspace.

• Handle all patient information with discretion and in full compliance with HIPAA.

Requirements

Must Have:

• Minimum of 1 year of front-desk or medical receptionist experience in a U.S. healthcare practice.

• Bilingual in English and Spanish with excellent written and verbal communication skills. Fluent, natural spoken English with a clear, professional phone presence is required (American accent preferred).

• Strong experience handling inbound and outbound patient calls and appointment scheduling.

• Experience verifying patient insurance eligibility.

• Hands-on experience with at least one EMR/practice management system.

• Solid understanding of HIPAA and patient confidentiality.

• Strong organizational skills, attention to detail, and the ability to work independently.

• Private, quiet home office with a reliable computer, high-speed internet, backup internet and power, and a noise-canceling headset.

Nice to Have:

• Office Ally experience.

• Experience in plastic surgery, ENT/otolaryngology, aesthetics, med spa, or dermatology practices.

• Previous experience as a Virtual Medical Assistant or Virtual Receptionist.

Please note that this is a full-time contractor position (40 hours per week) with a pay rate of $6 - $7.5 per hour depending on skillset and experience. The schedule is Monday through Friday, 8:00 AM–5:00 PM PST (10:00 AM–7:00 PM Central America time / 11:00 AM–8:00 PM Colombia and Ecuador time). HIPAA training is required for all placements.
