About this role

The Finance Support Coordinator supports the Finance Department by keeping billing, payables, and financial records accurate, organized, and timely. The position reviews manager billing submissions, analyzes remittance advice and flags claims needing follow-up, vouchers and processes vendor invoices and payments, and maintains the supporting files behind that work. The position supports revenue cycle management (RCM) services at APRI, including timely work on denied and rejected claims, as well as Rhode Island LTSS and SIS procedures. Training is provided, and responsibilities expand as the employee demonstrates accuracy and understanding.

Essential Duties and Responsibilities

Billing Review and Claim Follow Up

Collect and track manager billing Excel submissions and review workbooks for completeness, errors, duplicates, and missing information. Flag discrepancies in client information, member IDs, service dates, codes, and units, and document issues for the Billing Manager. Support the weekly goal of having workbooks reviewed and ready before 3 p.m. Wednesday.

Compare contracted consultant clinicians Medicaid billing, invoices submitted to APRI, and supporting service documentation for consistency. Flag missing documentation, possible duplicates, and services that may be missing from billing, and refer billability, coding, and invoice approval questions to the Billing Manager.

Retrieve remittance advice from approved payer portals, organize it in SharePoint using established naming procedures, and compare it with billing records to identify paid, partially paid, denied, adjusted, and unresolved claims.

Work denied and rejected claims in a timely fashion. Identify straightforward follow-up opportunities, such as missing or inconsistent member ID numbers, record the evidence and suggested next step for the Billing Managers review, and maintain follow-up trackers.

Support revenue cycle management (RCM) services at APRI, helping keep claims moving from billing through payment and resolution.

Accounts Payable

Review and voucher vendor invoices for accuracy and approval, code them to the proper general ledger classification, determine due dates, and enter them into the accounts payable system.

Process accounts payable checks and ACH payments and distribute them to vendors.

Handle vendor inquiries and resolve discrepancies.

Reconcile accounts payable detail to the general ledger monthly and maintain organized files for every vendor.

State Program Support

Support Rhode Island LTSS procedures by checking LTSS status for consumers on the designated review list in WellSky and cross-referencing Gainwell on the last Monday of each month, reviewing authorization and utilization information, and documenting status changes and follow-up.

Gather and track SIS assessment documents, such as nursing summaries, PRN documentation, guardianship paperwork, and house-manager records, and promptly flag approaching deadlines or missing records.

Administrative and Peripheral Duties

Maintain organized billing and financial files and communicate findings promptly to the Billing Manager, CFO, and Finance Team.

Assist with management and auditor requests for information, and assist the Controller with special projects as needed.

Follow agency confidentiality and information-security procedures and use approved systems.

Complete other duties as assigned.
