About this role

Experiencing together a unique human adventure

Animal health is key to the health of the planet. Working at Virbac means taking part in a unique human adventure in which the engagement of each individual contributes to its evolution. Encouraging internal mobility between positions and countries, offering individual development plans and building a partnership based on trust between managers and employees are as many perspectives of motivation for our teams. We also offer them a work environment conducive to exploring new territories and balancing their professional and personal lives. Finally, fostering their engagement to animal health also means listening to them and helping them to acquire new skills, preparing them for the challenges of tomorrow and encouraging them to contribute to an ever more responsible approach to our business.

We are seeking a detail-driven, proactive Human Resources Administrator to deliver comprehensive, high-quality operational support across the full employee lifecycle.
Reporting directly to the HR Manager, you will serve as a key operational contact for employee queries, support recruitment and onboarding, maintain our HRIS (Workday), facilitate payroll inputs, and ensure compliance with South African labor and statutory frameworks.

Key Responsibilities

- HR Administration, Payroll & Benefits: Serve as a trusted operational contact for employee queries and maintain physical and digital personnel records in line with data protection standards.
- Collate, verify, and submit monthly payroll inputs (overtime, unpaid leave, allowances, salary changes) to the outsourced payroll provider within cutoff dates.
- Administer employee benefits programs, liaising with providers for medical aid, retirement fund, and group risk schemes.
- Manage HR vendor purchase orders and ensure prompt supplier invoice processing.
- Prepare HR management dashboards, presentations, and reports.

- Talent Acquisition & Onboarding: Draft job advertisements, post vacancies across internal/external portals, and schedule interviews and assessments.
- Prepare interview packs, coordinate pre-employment background screening, and generate employment contracts and offer letters.
- Guide managers through onboarding workflows, verify pre-employment documentation, and configure new profiles on Workday.
- Coordinate end-to-end company induction schedules and deliver the HR induction presentation.

- HRIS Maintenance (Workday) & Performance: Maintain employee records on Workday (movements, appointments, transfers, promotions, and exits).
- Monitor performance management cycles (Goal Setting, Mid-Year Reviews, and Year-End Appraisals) and run system compliance audits.
- Provide Workday user support and facilitate data-accuracy campaigns.

- Compliance, Governance & SETA Reporting: Track Employment Equity (EE) demographics, coordinate quarterly EE Committee meetings, and support the compilation and submission of the annual EE Report.
- Collate training records and skills audit data for the annual Workplace Skills Plan (WSP) and Annual Training Report (ATR) submissions to the relevant SETA.
- Coordinate the internal bursary and study assistance program.
- Compile workforce data for Global Sustainability reporting and support internal/external audit inquiries.

- Employee Wellness & Engagement: Coordinate wellness initiatives, health days, and EAP campaigns in line with the annual Wellness Plan.
- Administer long-service recognition awards and assist with company event logistics.

Requirements (Diploma and experience)

- 3 year degree / diploma in Human Resources Management, Business Administration, or a related qualification
- 3 to 5 years of proven experience in an HR Administrator or Senior HR Officer role within a corporate environment.
- Practical, hands-on experience using Workday (or an equivalent enterprise HRIS) for core HR, recruitment, and performance management.
- Demonstrated experience collating SETA submissions (WSP/ATR) and working with Employment Equity reporting requirements and committees.
- Direct experience preparing payroll inputs for third-party payroll administrators

- Communication & Language Skills:

Excellent written and verbal communication skills in English; proficiency in Afrikaans is a strong advantage/recommendation.

Confident in drafting professional correspondence, facilitating employee induction sessions, and clearly explaining HR policies and processes to a diverse workforce.

- Exceptional Administrative Rigor & Efficiency:

Demonstrates gold-standard administrative hygiene with meticulous attention to detail.

Consistently maintains accurate, complete, and readily accessible baseline records (employee files, compliance trackers, system data), ensuring the HR Manager can access critical data on demand without delays.

Exhibits a high level of operational speed, accuracy, and follow-through in daily administrative tasks.

- Proactive Initiative & Continuous Improvement:

Takes proactive ownership of operational workflows rather than waiting for instructions; actively identifies administrative bottlenecks, gaps, or inefficiencies and proposes practical, workable solutions.

Continuously evaluates administrative processes to enhance departmental productivity and service delivery.

- Autonomy, Ownership & Self-Management:

Manages daily priorities and recurring deadlines independently with minimal supervision.

Self-directed and highly organized, taking full accountability for the end-to-end execution of operational tasks.

- Trusted Advisor & Information Authority:

Serves as a credible, reliable first point of contact for employees, consistently delivering accurate, clear, and policy-aligned guidance on HR processes and workflows.

Operates with high emotional intelligence, confidentiality, and professional integrity, fostering strong trust across all levels of the business.

- Learning Agility & "Extra Mile" Mindset:

Displays strong curiosity and a drive to learn new tools, legislation, and industry practices.

Regularly goes beyond standard job parameters to support team objectives, assist colleagues, and drive departmental success.
