About this role

Summary

The Program Coordinator is a full-time, grant-funded position ending on 6/30/27, with potential for project extension past fiscal year 2027.

The Program Coordinator leads statewide implementation of Barry University's Florida First Responder Suicide Readiness Initiative, a grant-funded education program designed to improve early recognition of psychological distress, supportive communication, and connection to appropriate care. The Program Coordinator develops agency partnerships, schedules regional training, recruits and manages qualified territory educators, and ensures consistent delivery of the approved curriculum.

The incumbent must be able to travel throughout the State of Florida as needed to fulfill the responsibilities of the position.

This position requires a finance background check due to the financial responsibilities associated with the role.

Essential Functions

- Support statewide implementation by translating grant objectives into a work plan, milestones, operating procedures, deliverables, and a coordinated regional rollout. Develop and maintain an agency outreach pipeline; contact fire chiefs, training officers, city/county managers, human resources leaders, labor representatives, EAP/peer-support contacts, and other decision-makers to secure meetings and training commitments.
- Execute the territorial strategy across Tampa Bay/Hillsborough, Jacksonville/Northeast Florida, Polk County/Central Florida, South Florida (Miami-Dade, Broward, and Palm Beach), and Southwest Florida (Lee, Collier, and Charlotte), adjusting deployment to demand and grant priorities.
- Manage training operations, including agency intake, scheduling, registration, facilities, rosters, participant communications, travel, materials, certificates, and approved continuing-education processes. Work closely with Financial Grants Management to ensure the budget is being spent in compliance with university and state policies.
- Recruit, facilitate onboarding, training, scheduling, and supervise regional territory educators and dual-instructor teams; complete the program training personally, co-facilitate as needed, observe delivery, coach instructors, and maintain curriculum fidelity.
- Maintain the program's evaluation and accountability system, including attendance, pre/post assessments, confidence measures, participant feedback, follow-up surveys, agency implementation measures, dashboards, as required by University leadership and the State of Florida. Maintain participant safety, privacy, crisis-resource, and escalation procedures; ensure instructors understand role boundaries and promptly refer urgent clinical or emergency concerns through established agency, University, and emergency-response protocols.
- Coordinate curriculum, handbook, participant resource, quick-reference, local referral, and instructor-guide updates with mental health faculty, experienced first responders, and subject-matter experts while preserving approved content and version control. Lead stakeholder communications and program promotion through agency recruitment packets, presentations, web/registration content, legislative updates, meetings, and relationship management; represent the initiative at regional and statewide forums as assigned.

Qualifications/Requirements

- A Bachelor's degree in any discipline is required. A Master's degree in Social Work is preferred.
- Candidates must possess 1-3 years of relevant professional experience.
- Instead of the required education, candidates may qualify with five or more years of relevant professional experience.
- Must have experience with Microsoft 365, shared databases/CRM, registration or LMS platforms, survey tools, virtual-meeting platforms, and reporting dashboards.
- Responsible for maintaining accurate rosters, schedules, records, invoices, and compliance-related documentation to ensure operational efficiency and adherence to established policies and procedures.
- Apply adult-learning practices; support scenario-based instruction.
- Communicate clearly and confidently, facilitate sensitive discussions with professionalism and discretion, adapt messaging to first responder audiences, and effectively engage with senior government and agency leaders.
- A valid driver's license is required.
