About this role
Job Title: Deductions & Claims Specialist Job Description
We are seeking an experienced Customer Deductions & Claims Specialist Supply Chain, to focus exclusively on researching, validating, coordinating disputes, and resolving customer fines, deductions, chargebacks, and claims related to customer orders. This dedicated, internally focused role manages assigned cases in the SAP UDM Disputes module and partners closely with the Customer Supply Chain Specialist and Accounts Receivable (AR) team, responsible for each customer account, cross-functional supply chain teams, and sales. The specialist will investigate operational and financial discrepancies, obtain documentation from internal teams, customers, or carriers, when necessary, establish root causes, and drive timely case resolution. This is not a collections or cash-application position; AR retains ownership of collections, payment posting, and financial accounting decisions.
Responsibilities
- Own assigned deduction and claims investigations from intake through documented resolution in SAP UDM Disputes, maintaining accurate case status, evidence, notes, follow-up actions, and closure rationale.
- Investigate customer fines, penalties, shortages, pricing or invoice discrepancies, delivery failures, missed appointments, routing-guide violations, and ASN/EDI or other compliance-related claims.
- Trace claims through purchase orders, SAP sales orders, deliveries, billing documents, shipment records, payment and deduction details, and applicable customer requirements.
- Gather and evaluate invoices, bills of lading (BOL), proof of delivery (POD), carrier records, appointment records, ASN information, customer correspondence, and other supporting evidence.
- Work directly with the Supply Chain Specialist who owns the affected customer account to obtain account history, operational context, and supporting documentation; coordinate next steps without transferring general account ownership.
- Communicate investigation findings and recommended actions to AR, coordinate dispute submissions, credit requests, adjustments, and final disposition in accordance with established approval and ownership processes.
- Contact customers and carriers as needed to request missing documents, clarify facts, and support resolution; maintain professional, timely follow-up and document communications in the case.
- Determine whether claims are valid, invalid, or pending additional evidence, with documented root cause, responsible function, and recommended resolution.
- Prioritize aged and high-value cases, monitor customer dispute deadlines, escalate stalled investigations, and reduce the open deduction disputed value, validated claims, recoveries confirmed by AR, aging, and closure trends; provide recurring progress reporting to Supply Chain Customer Experience leadership.
- Identify recurring issues and recommend preventive improvements with Transportation, Warehousing, Planning, Finance, AR, and Customer Supply Chain Team.
Essential Skills
- Experience with SAP S/4HANA and SAP UDM / Dispute Management; familiarity with High Radius or comparable claims tools.
- Experience with retailer/vendor chargebacks, OTIF fines, routing-guide compliance, shortage claims, and customer dispute portals.
- Experience in beverage, consumer packaged goods, manufacturing, distribution, or logistics.
- Approximately 25 years of relevant deductions, claims, or dispute-resolution experience.
Additional Skills & Qualifications
- Claims processing, deduction management, dispute resolution, and chargeback expertise.
- Familiarity with supply chain operations.
Work Environment
The role is dedicated to fines and deductions resolution, not general order entry, ongoing account management, collections, cash application, or independently authorizing credits/write-offs. The account-owning Customer Supply Chain Specialist remains the customer account operational owner; this position owns the assigned deduction investigation and coordination. AR/Finance retain financial transaction processing and approval authority. This position offers the opportunity to work cross-functionally across supply chain and finance teams, and build valuable experience with SAP, chargebacks, OTIF/customer compliance, and dispute resolution in a large Consumer Packaged Goods (CPG) environment.
