Facilities Coordinator – JLL
What this job involves: The Facilities Coordinator provides centralized administrative, systems, reporting and process support to the JLL IFM team serving SAIC. This role coordinates work across facilities managers, digital operations, vendors and client stakeholders to maintain accurate site and asset records, support compliance and preventive maintenance workflows, facilitate site openings and closures, and improve the consistency of service delivery across a geographically dispersed portfolio. The role tracks requests to completion, escalates exceptions and maintains documentation; technical determinations, approvals and overall site accountability remain with the designated owners.
What your day-to-day will look like:
- Coordinate Corrigo site setup, PMRM schedules, asset-status updates and work-order administration; run and distribute scheduled reports, tracking open actions, overdue items and SLA-extension documentation with assigned owners.
- Maintain the IFM site tracker, site attributes, service lines, points of contact and compliance audit logs (generator PM contracts, forklifts, hazardous waste, eyewash stations, first-aid kits, workplace postings), prompting Facilities Managers for quarterly and event-driven updates.
- Coordinate GovDocs site additions, closures, recipient updates and shipment/subscription reconciliation, along with CASS utility exception reviews and missing-invoice follow-up, routing exceptions to Facilities Managers and client contacts.
- Facilitate new-site checklists and site closures across Corrigo, GovDocs, JLL Marketplace, Guernsey, Property Hub and the IFM tracker, obtaining FM and system-owner confirmations throughout the site lifecycle.
- Maintain inventory and audit records for printers, Xerox refreshes, PrinterLogic connectivity, Iron Mountain, coffee/water dispensers and other account assets; process approved JLL Marketplace updates and coordinate purchasing-card/procurement support.
- Support security-related administrative tracking (alarm monitoring, inspections, work orders, meeting minutes), fleet/fuel-card inquiries and vendor follow-up, maintaining communication logs and due dates.
- Create and maintain standardized reference guides and onboarding materials for key systems (Corrigo, Property Hub, CASS, Jaggaer, P-card, sourcing); organize training resources, track completion, and prepare agendas/minutes for assigned meetings.
Required Qualifications:
- 2+ years of facilities coordination, operations administration, property management support or comparable multi-site experience.
- Proficiency in Microsoft Excel, Outlook, Teams and SharePoint; ability to maintain accurate trackers and produce clear operational reports.
- Experience with CMMS/work-order systems (Corrigo preferred), asset records, vendor follow-up and process documentation.
- Strong organizational skills, attention to detail, customer service, confidentiality and ability to prioritize competing deadlines.
- Ability to coordinate with geographically dispersed stakeholders and follow established approval and escalation protocols.
Preferred Qualifications:
- Experience supporting a large corporate or government-contractor facilities portfolio.
- Familiarity with PMRM/preventive maintenance, compliance records, utility exceptions, workplace services or site lifecycle processes.
- Exposure to JLL Marketplace, Property Hub, Jaggaer, GovDocs, CASS, PrinterLogic or related platforms.
