HRIS Manager

About SSA

Scientific Safety Alliance (SSA) exists to Accelerate Science. Delightfully. We provide mission-critical safety and compliance services to pharmaceutical, biotech, hospital and research organizations across the US, Puerto Rico, the UK and Europe. Since 2023 we have grown from $0 to $20M EBITDA with no outside equity (#175 on the Inc. 5000).

The Opportunity:

SSA has grown through acquisition into a multi-branch, multi-country organization, and we are bringing payroll together onto one platform and one standard. As our Global Payroll/HRIS Manager, you will own the payroll function for all SSA branches across the United States, Puerto Rico, the United Kingdom, and Austria, ensuring every employee is paid accurately, on time, and in compliance with local requirements.

You will also serve as SSA's in-house expert on ADP Workforce Now, our HRIS. You will lead the consolidation of payroll into a single global process, partner with branch leaders to standardize how time, pay changes, and payroll inputs flow, and make sure our HR system is configured, maintained, and trusted as the source of truth. This is a high-impact role for a payroll leader who has consolidated payroll before, ideally in a private equity–backed or acquisitive environment, and who wants to build it right.

How You Will Make an Impact

· Global payroll ownership: Manage end-to-end payroll for all branches in the U.S., Puerto Rico, the U.K., and Austria, including working with in-country providers where needed, and ensure accuracy, timeliness, and compliance in each jurisdiction.

· Payroll processing: Process payroll for all branches each cycle, including time and attendance inputs, new hires, terminations, pay changes, bonuses, commissions, deductions, and off-cycle payments.

· Branch partnership: Work with branch leaders to establish clear payroll calendars, cutoffs, and approval processes; train branch contacts and resolve payroll questions quickly.

· Payroll consolidation: Lead the consolidation of payroll from multiple legacy systems and acquired companies into a unified global process, and integrate newly acquired companies onto SSA payroll as we grow.

· HRIS expert: Serve as the subject-matter expert for ADP Workforce Now, owning system configuration, earnings and deduction codes, workflows, security roles, reporting, and integrations with benefits, 401(k), and finance systems.

· Compliance & tax: Ensure compliance with federal, state, Puerto Rico, U.K. (HMRC/PAYE), and Austrian payroll, tax, and statutory requirements; manage tax filings, year-end processes (W-2, 499R-2/W-2PR, P60, and local equivalents), and agency notices.

· Finance partnership: Partner with Finance on payroll journal entries, reconciliations, accruals, audits, and labor cost reporting.

· Controls & reporting: Build documented procedures and internal controls, and deliver accurate payroll and HR reporting to leadership, Finance, and branch leaders.

Deliverables & Outcomes

· Payroll is processed accurately and on time for every country and branch, with a payroll error rate below 1%.

· All branches are consolidated onto a single, standardized payroll calendar and process.

· Acquired companies are moved onto SSA payroll and ADP WFN on a defined, repeatable timeline.

· Payroll tax filings and year-end processes are completed on time with no penalties.

· ADP WFN is accurately configured and trusted as the system of record, with documented processes and reliable reporting.

· Monthly payroll reconciliations are completed and delivered to Finance on schedule.

· Branch leaders rate payroll support as responsive and dependable.

What We’re Looking For

· 5+ years of progressive payroll experience, including at least 2 years managing multi-state and multi-country payroll.

· Hands-on, advanced experience with ADP Workforce Now (required), including configuration and reporting.

· Proven experience consolidating payroll across multiple entities, systems, or countries; experience with a private equity–backed or acquisitive company strongly preferred.

· Knowledge of U.S. multi-state and Puerto Rico payroll; experience with U.K. and/or Austrian payroll, or with managing international payroll providers, strongly preferred.

· Strong command of payroll tax, compliance, and year-end processes.

· Highly analytical and detail-oriented, with advanced Excel skills and comfort with reconciliations and data integrity.

· Strong communicator who can partner with branch leaders, Finance, and HR, and explain payroll clearly to non-experts.

· Bachelor's degree in Accounting, Finance, Human Resources, or a related field preferred.

· CPP or FPC certification is a plus.
